SUMMARY:

The Marketing Planning Operations Manager is a strategic and operational leader supporting the entire Marketing organization. This role partners closely with the Marketing Leadership Team (MLT) to align strategic priorities, manage cross-functional initiatives, and ensure marketing executes with clarity, discipline, and efficiency.

In this role, you will drive operational excellence across all marketing functions-designing and enforcing scalable processes, optimizing resource allocation, and ensuring the team delivers effectively against business priorities.

This position bridges strategy and execution, enabling the marketing organization to operate with focus, alignment, and accountability.

This role also supports assigned process, planning, and project work and provides interim implementation and onboarding support for marketing software, including 1Mind.

This is a hybrid role, working three days a week in our beautiful Calgary Office located at 255 5th Ave SW, Suite 1400, Calgary, AB T2P 3G6. Candidates within commutable distance are preferred, but those outside of an office area may be considered on a remote basis.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

A. Marketing Strategy and Planning
  • Partner with the Marketing Leadership Team to support prioritization and decision-making with data-driven insights and benchmarks.
  • Run the cadence of business: facilitate leadership meetings, set agendas, capture outcomes, assign owners, and track follow-up actions.
  • Manage weekly, monthly, and quarterly business reviews across the marketing leadership team.
  • Lead the annual planning process across the marketing team, ensuring interlock with business stakeholders.
  • Lead and monitor progress on strategic initiatives, escalating risks or roadblocks as needed.
  • Prepare executive-ready updates, briefings, and communications that distill complex information into actionable insights. Strong presentation and written communication skills are essential.
  • Support the tracking and management of the marketing budget, in line with organizational priorities for functional and channel allocation.

B. Marketing Process & Enablement
  • Lead or support assigned cross-functional process, planning, and project work.
  • Develop and maintain standardized marketing processes, documentation, and best practices for scalability and efficiency.
  • Own the administration and adoption of marketing project management tools (e.g., Wrike), ensuring visibility into priorities, timelines, deliverables, and dependencies.
  • Translate priorities into clear plans, milestones, owners, dependencies, and follow-up actions.
  • Establish governance for campaign and program planning, execution, and reporting across marketing.
  • Coordinate status updates, track risks and roadblocks, and support planning activities through implementation.
  • Partner with marketing leaders to optimize workflows, improve resource allocation, and streamline cross-functional collaboration.
  • Implement AI and automation tools to improve project tracking, reporting, and operational insights.
  • Deliver dashboards and reports that measure program performance and marketing's contribution to business outcomes.
  • Champion a culture of accountability, operational rigor, and continuous improvement within the marketing team.

C. Marketing Software Implementation and Enablement
  • Support implementation and rollout of marketing software and workflow platforms as assigned.
  • Provide interim coordination, onboarding, training, and adoption support for 1Mind.
  • Coordinate stakeholder input, testing, issue tracking, documentation, and launch readiness with IT, Marketing Operations, vendors, and other partners.

PREFERRED QUALIFICATIONS:
  • B2B SaaS or technology industry experience.
  • PMP certification or equivalent project/program management experience.
  • Change management expertise and process improvement skills.
  • Agency/vendor management experience.
  • Knowledge of marketing compliance and data governance best practices.

IDEAL EXPERIENCE, EDUCATION, AND TRAINING:
  • 7+ years in marketing operations, project/program management, or a related marketing leadership role.
  • Proven success balancing strategic planning with operational execution.
  • Experience working with senior leaders and cross-functional teams.
  • Expertise in marketing process design, governance, and performance measurement.
  • Strong presentation and storytelling skills for executive audiences.
  • Familiarity with marketing technology and project management tools (e.g., Wrike, Asana, Monday.com).
  • Demonstrated ability to influence without direct authority and manage complex initiatives.
  • Experience with AI-enabled tools for marketing efficiency.
  • Bachelor's degree in Marketing, Business, Communications, or related field.
  • Certifications in project management, marketing operations, or analytics (preferred).
  • Ongoing professional development in marketing leadership and operational excellence.
