Title: Healthcare IT Application Administrator & Training

Program: IT

Salary Range: $95,000- $110,000

Program Description:

Project Renewal's Healthcare IT Application Administrator is the primary systems administrator for applications used by Healthcare staff and other Programs. They ensure these applications are properly configured to meet internal needs and external requirements as well as to ensure security and privacy. The position also leads the development of reference materials and the provision of training and support to end users. The administrator has a deep understanding of our Healthcare data and coordinates with PEQA to help create complex reports and dashboards from multiple sources to meet requirements and drive clinical, operational, and financial improvement.

Project Renewal's IT department maintains a comprehensive IT Runbook that outlines standardized processes and procedures, including a formal Change Management layer to ensure IT governance and operational consistency. The Healthcare IT Application Administrator & Training will be expected to operate within this framework, contributing to its adherence and continuous improvement across all infrastructure initiatives.

Overall Responsibilities:

Lead the administration, support, optimization, training, reporting, compliance, and strategic management of healthcare and programs technology applications to ensure efficient, secure, and data-driven operations across the organization.

Essential Duties and Responsibilities:

The essential duties of the Healthcare IT Application Administrator include but are not limited to the following activities:

System Administration & Configuration:
  • Serve as the eClinicalWorks (eCW) superuser and primary administrator:
    • Manage users, licensing, provisioning, and eRX setup.
    • Manage security, including PSAC and RBAC roles.
    • Create structured fields and both simple and complex templates.
    • Maintain order sets, medication groups, ICD, E&M, and LOINC codes.
    • Implement upgrades and modules (e.g., CCMR, Patient Portal, Kiosk).
    • Manage interfaces with labs, registries, RHIOs, and pharmacies.
    • Test new versions of eCW in a testing environment and document changes.
  • Manage other Healthcare IT and Program applications (Dickson, Doxy.me, CAREWare, Azara DRVS, eLoom, Healthix, AWARDS, HCS, Salesforce, etc.):
    • Configuration, user and security management, and data mapping.


Training & Support:
  • Develop and deliver individual and group training on eCW, other healthcare IT and program applications:
    • Online and in-person sessions tailored to roles (e.g., nurses, front desk, providers).
    • Record videos and PDF how-to guides.
    • Periodic refresher and "what's new" trainings.
  • Provide end-user support for eCW, other healthcare IT and program applications.
  • Develop training and reference materials for eCW, other healthcare IT and program applications.
  • Collaborate with PEQA, Healthcare, and Program leadership to identify data quality issues and design targeted training.
  • Assist with change management to ensure stakeholder engagement and communication.
  • Remain available for 24-hour on-call support and presence during emergencies or critical incidents.
  • Work on tasks and projects assigned by supervisor.


Governance & Compliance:
  • Conduct periodic audits of system users, permissions, licensing, and logs.
  • Prepare summary reports on audit findings and bring them to the attention of IT management.
  • Collaborate with the Director to align application enhancements with strategic goals.
  • Evaluate and recommend new features or modules that support innovation and efficiency.
  • Lead change management efforts for application updates, including stakeholder communication.
  • Track KPIs such as training effectiveness, system performance, and user adoption.
  • Ensure compliance with HIPAA and HITECH requirements.


Vendor & Financial Coordination:
  • Coordinate with vendors and stay current on product developments (e.g. AI features) and what is on the development roadmap that can assist with the advancement of Project Renewal's Mission and Vision.
  • Coordinate the processing of invoices and ensure accurate cost allocation to programs, contracts, and grants.


Requirements:
  • Minimum 5 years of experience with eClinicalWorks, including clinical, front desk, and basic billing workflows.
  • At least 3 years in administration, configuration, and support of eClinicalWorks.
  • Experience with data reporting tools (eBO, eLoom).
  • Strong knowledge of HIPAA and HITECH.
  • Excellent communication, time management, problem-solving, and independent work skills.
  • Preferred: Experience in a Federally Qualified Health Center and Uniform Data System (UDS) reporting.
