Full Job Description
Early-stage, mission-driven health tech startup is looking for an Executive Operations lead to serve as a strategic thought partner to the Founder & CEO. This is an exciting opportunity to ride shotgun with a founder at a fast-growing company and build alongside her as it scales. In this role, you'll act as her right hand, own calendar and prioritization, coordinate travel, build pitch decks and presentations, sit in on product meetings, and jump in wherever the business needs you, from special projects to helping hire for gaps. Someone with an operational mindset who is a resourceful self-starter, thrives switching gears across many hats in a single day, and is excited about joining a small, early-stage team. This is a remote role; must be based in California, working PST hours. There may be some light travel in-state as needed. 100-150K+ DOE + equity and benefits.

Responsibilities:
  • Serve as a strategic thought partner to the CEO, helping prioritize where their time and energy should go, capturing action items, and ensuring immediate follow-through on what matters most.
  • Protect the CEO's time by owning their calendar and scheduling, coordinating travel, prioritizing incoming requests, and filtering communications so they can stay focused on the highest-impact work.
  • Build pitch decks, presentations, and internal and external materials, draft communications and meeting agendas for leadership review, and step in to represent the CEO in meetings when needed.
  • Sit in on product meetings and collaborate closely with the product, tech, and clinical teams, including hands-on support in tools like Figma.
  • Manage the operational timeline for new product features and rollouts, and partnership initiatives, translating big-picture goals into actionable workflows. Identify bottlenecks, propose solutions, and keep the team aligned and accountable with deadlines.
  • Facilitate weekly team syncs, document key decisions, and track cross-functional action items so everyone stays moving in the same direction.
  • Oversee day-to-day business administration and help keep the back office organized.
  • Fill the operational gaps as they arise, including helping source and hire for new roles as the team grows.
Qualifications:
  • Previous 3+ years of experience in an Operations, Chief of Staff, or project management role supporting a founder or CEO in a fast-paced environment, ideally at a high-growth startup.
  • Exceptional organizational skills and attention to detail, with the ability to keep many moving pieces on track at once.
  • Proactive and solutions-oriented with an instinct to anticipate needs and take ownership of problems end-to-end rather than waiting for direction.
  • A resourceful self-starter who can move quickly between very different tasks, stakeholders, and priorities without losing momentum.
  • Strong strategic prioritization skills with the ability to assess what matters most.
  • Excellent written and verbal communication skills, with the ability to build polished materials and interact with stakeholders at all levels.
  • Systems-oriented and able to introduce practical structure, workflows, and improvements while remaining flexible and efficient.
  • Tech-savvy. Proficiency with Google Workspace, Notion, and Figma, and familiarity with AI tools, is a strong plus.
