Job Description

As an Executive Legal Assistant, you will support executives, lawyers and legal professional teams by coordinating priorities, managing complex administrative and operational tasks, preparing key documents, supporting contract and compliance-related workflows, and helping drive work to completion with strong judgment, organization, and attention to detail.

Your role:

  • Supports executives, lawyers, and legal teams by managing complex administrative, organizational, and operational responsibilities while serving as a trusted liaison among internal and external stakeholders. Handles confidential communications, correspondence, and sensitive information with professionalism, discretion, and sound judgment, while maintaining knowledge of corporate policies and operating independently within established procedures.
  • Coordinates key business activities by managing calendars, scheduling high-priority meetings, preparing reports, presentations, executive summaries, agendas, meeting minutes, and other strategic communications that support informed decision-making. Maintains records and documentation, oversees travel arrangements and logistics, and ensures leaders remain informed of critical priorities, deadlines, and milestones.
  • Drives operational excellence through the coordination of events, workshops, and conferences; management of expenses and budgets; communication of organizational announcements and updates; and support of crisis communications. Identifies and implements process improvements to enhance efficiency and may provide guidance to administrative teams and stakeholders to help achieve business objectives while fostering a culture of collaboration, compliance, and care.


You're the right fit if:

  • You have acquired 4+ years' experience with Vocational Education in areas such as Administrative Support, Clerical Support or equivalent. Also, you possess 4+ years of experience supporting in similar positions, preferably within the legal setting.
  • Your skills include strong attention to detail, supported by effective organizational skills; the ability to deal with competing priorities and leverage a proactive work style to meet business deadlines; and work with minimal supervision. Also, you should also have strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and Artificial Intelligence such as Co-Pilot and ChatGPT, required and Adobe, preferred.
  • You have a High School Diploma, Vocational Education/ Bachelor's Degree in any relevant discipline or equivalent.
  • You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position.
  • You're an excellent communicator (written and oral) with strong organizational and project management skills. Knowledge of LEAN processes, a bonus. You are self-motivated; able to work both independently to complete tasks and respond to department requests and with others to utilize their resources and knowledge to identify high quality solutions. Strong attention to detail in the review, processing, and drafting of department documents; ability to utilize detail and depth of legal understanding to assist with training materials


How we work together

We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week. Onsite roles require full-time presence in the company's facilities. Field roles are most effectively done outside of the company's main facilities, generally at the customers' or suppliers' locations.

This is an Office role.

Philips Transparency Details

The pay range for this position in Cambridge, MA is $42.00- $66.00.

The actual base pay offered may vary within the posted ranges depending on multiple factors including job-related knowledge/skills, experience, business needs, geographical location, and internal equity.

In addition, other compensation, such as an annual incentive bonus, sales commission or long-term incentives, may be offered. Employees are eligible to participate in our comprehensive Philips Total Rewards benefits program, which includes a generous PTO, 401k (up to 7% match), HSA (with company contribution), stock purchase plan, education reimbursement and much more.
