About The Opportunity

Wonder is seeking a highly organized, proactive, and strategic Executive Assistant to support key executive leaders—specifically supporting two CEOs who oversee our largest business units, our CTO, and other executives. This role serves as a trusted partner to executive leadership, managing complex administrative operations, communications, scheduling, and cross-functional coordination in a fast-paced, high-growth environment.

The ideal candidate thrives in ambiguity, exercises exceptional judgment and discretion, anticipates needs before they arise, and brings a high level of professionalism, curiosity, and operational excellence to everything they do.

This is a unique opportunity to play a critical role in supporting executive leadership while helping drive organizational effectiveness and operational efficiency across Wonder.

The Impact You Will Make

Executive Partnership & Calendar Management
  • Provide high-level administrative and operational support to CEO, CTO and other C-Suite level leaders

  • Manage complex executive calendars, prioritizing competing demands and aligning schedules with business priorities

  • Coordinate and support executive meetings with internal and external stakeholders, including board members, investors, and senior leadership

  • Anticipate executive needs, proactively solve problems, and improve administrative workflows and processes

  • Track priorities, deadlines, deliverables, and follow-up items with minimal direction

  • Serve as a trusted liaison across internal and external stakeholders, ensuring seamless coordination and communication


Communication & Documentation
  • Draft, edit, proofread, and distribute executive communications, presentations, and messaging for a variety of audiences

  • Communicate professionally and effectively with stakeholders at all levels of the organization, including executives, board members, investors, and external partners

  • Maintain highly confidential information, files, records, and correspondence with discretion and professionalism


Meeting & Event Coordination
  • Plan and coordinate executive leadership meetings, business reviews, offsites, town halls, and strategic planning sessions

  • Manage meeting logistics including scheduling, room coordination, vendor management, agendas, materials, and follow-up actions

  • Support both virtual and in-person meetings across multiple time zones and locations

  • Assist with coordination of board meetings and executive-level events as needed


Office & Operational Excellence
  • Coordinate domestic and international travel arrangements, itineraries, and related logistics

  • Prepare and process expense reports, invoices, budgets, and administrative documentation

  • Ensure efficient day-to-day operations of the executive offices and contribute to a positive team environment

  • Identify opportunities to improve operational efficiency and administrative processes across the organization

What You Bring to the Table

  • 7-10+ years of experience supporting C-level executives, preferably within fast-paced or high-growth environments

  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously

  • Strong judgment, discretion, and professionalism handling confidential and sensitive information

  • Outstanding written and verbal communication skills

  • Proven ability to anticipate needs, solve problems proactively, and operate independently

  • High attention to detail and strong follow-through

  • Advanced proficiency in Google Workspace, including Gmail, Google Calendar, Google Docs, Sheets, Slides, and Drive, with experience operating within a highly collaborative Google-based work environment

  • Experience supporting executive leadership in finance, operations, technology, or high-growth startup environments is a plus

  • Bachelor’s degree or equivalent experience preferred

This role requires a minimum of 4 days a week in the office, with additional days as needed based on role demands.

New York: $96,000-$114,500 per year.

Illinois: $86,500-$103,000 per year.

Wonder uses geographic-specific salary structures, which means the salary offered may vary depending on where the job is located. The final salary offer will take into account various factors, such as the candidate's skills, education, training, credentials, and experience.
