Upward On is partnering with a privately held real estate ownership and management company to identify an Executive Assistant to join its Midtown Manhattan office.
This is a hands-on role within a small, collaborative team. The Executive Assistant will support the Principal and office while also serving as the first point of contact for visitors and callers. The position combines traditional executive support, receptionist responsibilities, general administration, and light property management coordination.
We are looking for someone who is warm, polished, organized, discreet, and an excellent communicator-someone who enjoys being the person who keeps an office running smoothly.
Responsibilities
• Provide day-to-day administrative and executive support to the Principal
• Manage calendars, schedule meetings and appointments, and coordinate day-to-day priorities
• Answer and direct incoming calls and serve as a warm, professional first point of contact for the office
• Greet visitors and maintain an organized and welcoming office environment
• Communicate professionally with banks, clients, tenants, vendors, and other business contacts
• Draft correspondence, organize documents, maintain files, and handle general administrative tasks
• Assist with light property management responsibilities, including coordinating with and helping manage building staff
• Communicate with tenants and vendors regarding building-related matters and follow up on outstanding items
• Coordinate meetings, deliveries, office supplies, and general office needs
• Assist the Principal with ad hoc projects, research, follow-up, and special assignments
• Track open items and ensure appropriate follow-through
• Pitch in wherever needed as part of a small, collaborative team
Qualifications
• Prior experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar support position
• Excellent communication and phone skills
• Warm, polished, and professional demeanor
• Comfortable communicating with banks, clients, tenants, vendors, and other external contacts
• Strong organizational skills and attention to detail
• Excellent follow-through
• High level of discretion and good judgment
• Flexible, proactive, and willing to take on a variety of responsibilities
• Strong written communication skills
• Proficiency with Microsoft Office and general office technology
• Real estate or property management experience is a plus
