SUMMARY

This role provides comprehensive administrative support to Westlake’s CFO. It requires extensive executive support experience, strong organizational and time management skills, and close attention to detail. The individual must demonstrate integrity, discretion, professionalism, critical thinking, sound judgment, and the ability to anticipate needs while maintaining confidentiality.

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Manage the CFO’s calendar comprehensively by prioritizing requests, resolving conflicts, making strategic scheduling decisions, and anticipating needs to support smooth daily operations.
  • Serve as a gatekeeper by screening and prioritizing communications and requests. Coordinate with internal leaders, board members, and external stakeholders to ensure timely responses and follow-up.
  • Create, revise, and enhance PowerPoint presentations including board presentations and strategic documents.
  • Prepare reports and detailed analyses using Excel, Smartsheet, Power BI, and other data management tools.
  • Prepare purchase requisitions, travel arrangements, expense reports, presentations, and other materials with accuracy and attention to detail.
  • Coordinate domestic and international travel, including detailed itineraries tailored to the CFO’s needs.
  • Monitor and respond to emails, calls, and other inquiries on behalf of the CFO, as appropriate.
  • Use task management tools to track deadlines and ensure key deliverables are completed on time.
  • Coordinate meeting and event logistics, including room setup, meal arrangements, agendas, minutes, and follow-up on action items.
  • Maintain professionalism and handle confidential or sensitive information with discretion.
  • Collaborate with other Executive and Administrative Assistants to coordinate calendars, support meeting arrangements, and respond to inquiries across departments.
  • Support complex meeting and event preparation, including AV setup, room scheduling, and telepresence coordination.
  • Comply with company policies, federal and state regulations, and safety and environmental standards.
  • Perform other duties assigned by the CFO and adapt to the company’s changing needs.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • High school diploma required; bachelor’s degree strongly preferred.
  • Minimum of 12 years of professional administrative experience supporting C-suite executives, preferably in the chemical, manufacturing, or related industry.
  • Self-starter with strong judgment, critical thinking, and the ability to anticipate needs, solve problems, and manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills, with exceptional organization, attention to detail, and consistent follow-through on deadlines.
  • Advanced proficiency in Microsoft Excel, Outlook, PowerPoint, Word, and SharePoint; familiarity with Microsoft Copilot or other AI tools preferred.
  • Experience managing complex calendars, executive schedules, meeting reminders, and domestic and international travel.
  • Professional and adaptable, with the ability to work effectively with senior executives, technical manufacturing personnel, and key business partners.
  • Proven ability to handle sensitive information with discretion and complete confidentiality.

Required Work Hours and Schedule:

Corporate office schedule: Monday through Friday, 8:00 AM to 5:00 PM, with flexibility to meet the needs of the CFO and the company.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to stoop, kneel, or crouch.  The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office.  Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc. May also result in exposure to outside elements and may require usage of stairs and elevators.
