Enterprise Project Manager

STATUS: Full-time, Exempt

DEPARTMENT: Information Technology

LOCATION: Grand Rapids, W.A. Lettinga Campus

REPORTS TO: Vice President of Information Technology Services/CIO

SALARY: $95,000-$98,000

SUMMARY:

This position is responsible for leading the successful delivery of the University's ERP modernization initiative and other enterprise-scale technology projects, from planning through cutover and adoption. The position will provide oversight of vendor, business, and IT resources during the design, build, and deployment phases of the project. It will also be responsible for coordinating cross-functional stakeholders to ensure the ERP platform is delivered on time, within budget, and ready for the University to adopt. These responsibilities are performed in an ethical manner consistent with the University's mission, vision, and values which include diversity, equity, and inclusion.

RESPONSIBILITIES:
  • Lead ERP modernization project planning, execution, and delivery, maintaining ownership of scope, schedule, and budget.
  • Review project proposals and plans to determine timeframes, funding limitations, procedures, staffing requirements, and phased rollout approach.
  • Identify and schedule project deliverables, milestones, and required activities across workstreams such as finance, HR, supply chain, and data migration.
  • Develop, manage, and control the ERP project budget, including implementation partner costs, software licensing, and internal staffing.
  • Serve as the primary point of accountability for the ERP implementation partner and other vendors, reviewing and approving work plans and deliverables.
  • Build and lead a cross-functional project team, including internal staff and external consultants, throughout the project life cycle.
  • Act as a coach to junior project managers and business stakeholders who need guidance on project management practices.
  • Implement a project communication plan for the executive sponsor, steering committee, business unit leaders, and end users.
  • Conduct ongoing risk assessment and mitigation planning, with particular attention to data migration, integration, and business process change risk.
  • Work with enterprise architecture, cybersecurity, and compliance teams to determine appropriate security policies, processes, and procedures for the ERP environment.
  • Partner with organizational change management and training resources to drive user readiness, communication, and adoption across impacted departments.
  • Consult with management to ensure the selection and use of realistic project governance and enforcement mechanisms.
  • Regularly report project status, risks, and budget performance to the steering committee, CIO, and executive leadership.
  • Actively participate in appropriate University committees and task forces related to the ERP program.
  • Be available to project staff and leadership whenever appropriate.
  • Assist/advise in the development of training program materials for end users.
  • Participates in appropriate professional organizations.
  • Provides GREAT customer service, anticipating and exceeding the needs of our customers.
  • Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.

QUALIFICATIONS:
  • Bachelor's Degree in business information systems, computer science, or related field required; Master's degree or MBA preferred.
  • 7+ years of progressively responsible IT or business project management experience required.
  • 5+ years managing complex, high-risk, enterprise-scale technology projects required; prior ERP implementation or modernization experience (e.g., SAP, Oracle, Workday, Microsoft Dynamics) strongly preferred.
  • Project Management Professional (PMP), PMI-ACP, or PRINCE2 certification preferred.
  • Demonstrated experience managing multi-million dollar project budgets and third-party implementation partners.
  • Familiarity with higher education technology challenges and environment.
  • Familiarity with federal regulations governing student and institutional data security.
  • Demonstrated ability to think logically, analyze data, and process detailed information.
  • Ability to work both independently and as part of a team.
  • Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation, and positive reactions to change and conflict resolution.
  • Excellent interpersonal, communication, and presentation skills, both written and oral, which transcend diverse audiences.

  • Business office environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain). Some travel between locations is required (own transportation).
  • No regular lifting requirements, occasional lifting up to 25 pounds.
  • Must be able to work an irregular schedule, evenings or Saturdays as needed, additional hours during peak times or project cutover windows, or as required.
