As a
Document Controls Manager with Michels Infrastructure Solutions, you will lead document management processes and information governance efforts supporting some of North America's largest and most complex mission-critical infrastructure projects.
Position OverviewAs a
Document Controls Manager, you will lead the development, implementation, and management of document control systems, procedures, workflows, and reporting processes supporting major hyperscale data center construction projects.
You will be responsible for ensuring project documents, engineering deliverables, procurement records, construction documentation, quality records, commissioning packages, and turnover deliverables are properly managed, maintained, and distributed throughout the project lifecycle.
This role serves as a key partner to Project Management, Engineering, Procurement, Construction Operations, Project Controls, Quality, Commissioning, and Owner teams by ensuring critical project information is accurate, accessible, and controlled in accordance with project requirements.
Success requires strong leadership, process discipline, attention to detail, organizational capabilities, and a commitment to maintaining document integrity from project kickoff through final turnover.
Key Responsibilities- Lead document control activities throughout all phases of project execution.
- Develop and implement document management procedures, workflows, standards, and information governance practices.
- Manage document control systems supporting engineering, procurement, construction, quality, commissioning, and turnover activities.
- Ensure project documentation is maintained in accordance with contractual requirements, project standards, and internal procedures.
- Lead document control personnel and establish priorities, workflows, performance expectations, and reporting requirements.
- Maintain accurate, organized, and audit-ready project records throughout the project lifecycle.
What You'll Do- Establish and manage document control systems, processes, naming conventions, retention requirements, and approval workflows.
- Oversee document processing, distribution, tracking, revision control, retrieval, and archiving activities.
- Manage project documentation including:
- Drawings
- Specifications
- RFIs
- Submittals
- Transmittals
- Correspondence
- Contracts
- Procurement records
- Quality documentation
- Inspection reports
- Commissioning documentation
- As-built records
- Turnover packages
- Ensure project teams are working from current and approved document revisions.
- Track document review cycles, approvals, overdue items, and outstanding action items.
- Develop and maintain document logs, reporting dashboards, compliance reports, and project metrics.
- Support engineering, procurement, project controls, construction, and commissioning teams with document management requirements.
- Coordinate document exchanges between project stakeholders, clients, consultants, vendors, subcontractors, and affiliated Michels companies.
- Lead document audits and quality reviews to ensure compliance with project requirements.
- Support preparation and delivery of owner turnover packages, operation and maintenance manuals, commissioning records, and final project documentation.
- Train project personnel on document control standards, procedures, software platforms, and reporting requirements.
- Support continuous improvement initiatives related to information management and document control processes.
Leadership & Team Development- Lead, mentor, and develop Document Control Specialists and project administrative support personnel.
- Establish and maintain document control standards across assigned projects.
- Promote accountability, consistency, accuracy, and responsiveness throughout document management activities.
- Collaborate with project leadership to ensure documentation requirements are integrated into project execution strategies.
- Drive continuous process improvements that enhance efficiency, organization, compliance, and information accessibility.

What It Takes- Bachelor's degree in Construction Management, Engineering, Business Administration, Information Management, Project Controls, or a related discipline and 7+ years of document control, information management, project controls, engineering support, or construction administration experience, or an equivalent combination of education and experience.
- Experience supporting large-scale construction, EPC, infrastructure, mission-critical, industrial, energy, or data center projects.
- Demonstrated experience developing and managing document control systems, procedures, workflows, and reporting programs.
- Strong understanding of engineering documentation, RFIs, submittals, transmittals, procurement documentation, quality records, commissioning documentation, and turnover requirements.
- Experience managing document control processes throughout engineering, procurement, construction, commissioning, and closeout phases.
- Demonstrated leadership experience managing document control teams or project support personnel.
- Strong understanding of document retention practices, revision management, information governance, audit readiness, and records management.
- Experience supporting owner turnover packages, operation and maintenance manuals, as-built documentation, and project closeout requirements.
- Proficiency with Microsoft Office Suite.
- Experience with Autodesk Construction Cloud, Procore, Aconex, SharePoint, BIM 360, InEight, Unifier, Prolog, or similar document management platforms is preferred.
- Strong organizational, analytical, communication, leadership, problem-solving, and process improvement skills.
- Ability to manage multiple priorities and stakeholders in a fast-paced project environment.
- Valid driver's license with an acceptable driving record.
- Ability to travel approximately 75% and support long-term onsite project assignments throughout North America as required.
