Full Job Description
Job Purpose: The Manager of Financial Planning/Analysis and Human Resources plays a pivotal role in ensuring the effective financial management and human resource operations of our Pregnancy Resource Center. This dual-function position involves overseeing the financial planning, analysis, and compliance aspects. You will also contribute to the well-being and effectiveness of our organization's most valuable asset - our employees, by helping to create a supportive work environment for our staff and strategically managing all aspects of human resources.

KEY RESPONSIBILITIES

Financial Planning and Analysis

1. Annual Operating Budget, Annual & Monthly:
  • Develop, oversee, and optimize the annual operating budget in collaboration with department heads and the Executive Director.
  • Ensure alignment of the budget with the organization's strategic goals and priorities.
  • Forecasting and Financial Analysis:
  • Provide regular financial forecasting and analysis to support decision-making by senior management and the Board of Directors.
  • Identify financial trends, variances, and opportunities for improvement.

2. Monthly Financial Statements:
  • Prepare and present monthly financial statements to the Executive Director and the Board of Directors.
  • Explain financial performance, variances, and key metrics.

3. Financial Reconciliation:
  • Reconcile all financial accounts on a monthly and yearly basis, ensuring accuracy and compliance.
  • Address any discrepancies promptly.

4. Financial Compliance:
  • Ensure all financial operations comply with federal and state laws and regulations.
  • Accurately submit required financial reports and documentation.

5. Accounts Payable and Receivable:
  • Oversee the smooth operations of accounts payable and accounts receivable.
  • Maintain accurate records, process payments, and manage collections as necessary.

6. Fiscal Data Entry:
  • Perform fiscal data entry into QuickBooks or other accounting software.
  • Use of Virtuous CRM for donor management
  • Maintain organized financial records and documentation.

7. Cash Balance Reporting:
  • Monitor cash balances and provide regular reports as required.

8. Tax Compliance:
  • Oversee the administration and preparation of tax returns, ensuring timely filing.
  • Lead the preparation of Form 990 and other tax filings.

9. Annual Audit Coordination:
  • Coordinate the annual audit process and related activities, collaborating with external auditors as needed.

10. Other:
  • Metrics
  • Assist in gathering data for monthly dashboard.
  • Make recommendations for improved data collection and reporting capabilities to provide shared visibility into key performance trends and metrics.
  • Review, process, and maintain all business agreements, contracts, leases, licensing, permitting, vendor contracts and grants.


Other Responsibilities:

  • Attend monthly board meetings.
  • Attend all staff events and meetings as required.
  • Assist with fundraisers as required.
