Full Job Description
Summary: The Director of Booking supports calendar events for Peoria Civic Center. Under the General Manager, interact continuously with clients, promoters, artist's agent, and artist's managers in efforts to solidify business for the arena. Oversee and coordinate all aspects of the arena, theater, and convention center booking process. Serve as a strategic leader responsible for driving event bookings, revenue generation, marketing initiatives, and community partnerships while ensuring the facility maintains a strong presence in the region's entertainment, convention, and hospitality markets. Salary range is $85,000 - $95,000 based on experience.

Essential Duties and Responsibilities:
  • Meet and/or exceed projections, schedules, and timelines.
  • Negotiate venue deals with promoters and/or agents.
  • Monitor and maintain the master area/theater/convention center venue calendar.
  • Obtain full understanding of venue deal points and agreements.
  • Input and maintain all events and event holds using the calendar system.
  • Distribute booking sheets and show related information to personnel.
  • Assist in settlement of all touring events.
  • Contact prospective promoters, agents, managers, and individuals to initiate the sales effort. Follow-up on leads generated by outside sources.
  • Compile bid and sales proposals for the Arena, Theater, and Convention Center.
  • Negotiate, compile, and execute sales contracts and venue agreements (to include tracing of contract, deposits, and insurance).
  • Conduct facility tours for prospective clients.
  • Assist in the preparation and design of Arena brochures, pamphlets, advertisements, and other promotional materials.
  • Establish an expansive network of promoters, agents, managers, and representatives.
  • Serving as the primary liaison with the Convention & Visitors Bureau to attract and support convention, meeting, and tourism business.
  • Developing and overseeing comprehensive advertising, branding, and promotional campaigns through the facility's marketing resources and external partners, ensuring successful execution of the overall marketing strategy.
  • Leading and developing the marketing and sales team.
  • Creating, managing, and adhering to the department's annual operating and marketing budgets
  • Building and maintaining strong relationships with arts organizations, community groups, nonprofits, and key stakeholders to support facility programming and community engagement.
  • Rotate with other facility personnel to function as Director on Duty (DOD), who maintains total responsibility and authority over all clients, staff personnel, patrons, security, and safety in assigned buildings. Responsibilities included but not limited to ensuring contractual agreements are met and clients' event requirements and changes have been made in a timely fashion. On-duty staff/subcontractors report to the DOD through any Managers or Supervisors present during the event.
  • Attend weekly staff meetings. Develop and maintain a harmonious working relationship with all other departments.
  • Work extended and/or irregular hours including nights, weekends and holidays as needed.
  • Other duties as assigned.


Supervisory Responsibilities:

Directly supervises all employees in sales and marketing functions. Carries out supervisory responsibilities in accordance with Legends's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

Education and / or Experience:
  • Bachelor's degree from accredited four-year college or university in marketing, public relations, business administration, public administration, or related field;
  • Minimum of five (5) years' experience booking an arena, stadium, or theater; or an equivalent combination of education and experience.


Skill and Abilities:
  • Demonstrate knowledge of principles, practices and terminology of public relations programs, advertising, marketing, sales presentation techniques, public speaking and operations of tradeshow and conventions.
  • Maintain an effective working relationship with clients, employees, exhibitors, patrons, and others encountered in employment.
  • Operate a personal computer using Windows and Microsoft Office software.
  • Operate standard office equipment including copier and fax machine.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Organize and prioritize work to meet deadlines.
  • Work effectively under pressure and/or stringent schedule and produce accurate results.
  • Work independently, exercising judgment and initiative.
  • Be licensed and insured to operate a motor vehicle in the United States.
  • Remain flexible and adjust to situations as they occur.


Computer Skills:
  • Proficiency with MS Office, including Word, Excel, PowerPoint, Outlook required.
  • Familiarity with photo editing and document production software preferred.


Other Qualifications:
  • Must have reliable transportation.
