Full Job Description
Use personal expression and creativity to oversee the management of all mobile and support operations which includes but is not limited to medical history, donor eligibility, automated component collection and whole blood collection processes, as well as staff scheduling, quality control and education and training in conjunction with the Director, Fixed Site Operations and Director, Operations Support and Training. The responsibilities will include strategic planning and implementation, goal achievement, the oversight and development of the technical training programs for all areas of responsibility including staff management and development, working as the liaison with other operational areas in We Are Blood business planning. Establish and maintain quality practices while continually seeking to improve and expand upon performance and knowledge for self and staff.

Responsibilities:
  • Subject matter expert for Donor Services: Develop and sustain complete familiarity with all industry guidelines, cGMP, technical skills, departmental SOPs, quality policies and procedures, human resources policies and procedures, mainframe donor database, document management software, operator manuals, training plans and other materials as appropriate. In conjunction with Director, Fixed Site Operations, and Manager and Training rotate on call support for the in-house, remote site, and mobile team staff in evaluating donor qualification issues, including autologous, therapeutic and directed donation eligibility, recommending appropriate deferral action; evaluate, treat and follow up on donor reactions and consult with MD and/or executive management as needed.
  • Evaluate donor medical and social history information from Donor Records, computer records, Post Donation Information reports (PDIs), Duplicate Donor Discrepancy Reports (DRDs), System Improvement Records (SIRs), and other sources. Calculate next donation dates and assign deferral codes as necessary. Contact donors when clarification is needed. Ensure that all donor deferral data is accurately recorded in the computer, as needed. Audit and resolve any discrepancies between manual and computer donor records.
  • Administration of managerial functions: Direct, manage, and evaluate work activities of the Mobile Operations Managers and Mobile Operations staff; ensure compliance with all applicable industry, federal and organizational guidelines, protocols, policies, and procedures, including timely and appropriate resolution of SIR's, reporting of all Worker's Compensation exposures, illnesses, or injuries; ensure thorough and effective communication and dissemination of information to donors, coworkers and guests; monitor performance data (scheduling statistics, draw/deferral reports, inventory levels, budget/ expenditures, etc.) for areas of responsibility and provide VP, Clinical and Donor Services and/or Executive Management with appropriate reports and analysis. Serve as back-up to Director, Fixed Site Operations and Director Operations Support and Training as needed.
  • Employee development: Function as a mentor to mobile operations and administrative support staff; providing leadership, guidance, training and counsel; investigate and rectify employee performance and/or behavioral inadequacies with timely counseling; conduct fair, effective, unbiased and factual performance appraisals of department managers and ancillary staff; identify individual and departmental training needs, in collaboration with the Director, Fixed Site Operations, and Director Operations Support and Training, assist with development of training plans and programs, conduct training sessions and assist in maintaining training documentation; review draw statistics and other performance data to measure employee productivity and goal achievement.
  • Project Management: Work with Donor Services Quality Assurance Manager to establish, implement and validate new processes, protocols, procedures, and technologies; draft and revise SOPs;
  • Record keeping: Ensure department procedural documents are reviewed and updated in accordance with approved schedules; maintain attendance, training, disciplinary and personnel documentation.
  • Organizational Leadership: Promote, meet, and exceed customer service standards; develop and maintain constructive and cooperative intra and interdepartmental relationships; leverage knowledge, skills and relationships to develop and achieve departmental and organizational goals in collaboration with Director, Fixed Site Operations; Serve as back-up to other Donor Services Directors in their absence; other duties as assigned.

Skills, Education, & Experience:
  • A minimum of 5 years management experience including strategic planning, or a minimum of 3 years blood center senior management experience is required; blood center or relevant industry related experience may be substituted for some management experience. Blood center experience in donor collection operations management strongly preferred, particularly experience with FDA/ AABB and/ or Industry audits.
  • College degree and/or RN license preferred. Either of these may substitute up to 2 years management experience.
  • Strong computer skills. Experience with Microsoft Office required; blood bank software and document control software preferred.
  • Excellent communication skills, both verbal and written required, experience writing employee counseling statements and performance appraisals, nonconformance investigations and corrective actions, SOPs, training plans, change control documents and validation plans strongly preferred.
  • Strong public speaking and presentation skills.

Physical/Mental Abilities:
  • Must be at least 21 years old, possess a valid Texas driver's license; must be able to provide a copy of an acceptable driving record and proof of liability insurance.
  • Ability to adapt to change and facilitate change in a positive and professional manner.
  • Ability to handle multiple priorities effectively, assimilate information quickly (including sensitive information and situations), identify problems and provide appropriate solutions under pressure and work independently, or with little direct supervision.
  • Ability to exhibit professional conduct and demeanor at all times.
  • Ability to employ critical thinking skills to solve issues regarding donor eligibility, scheduling, staffing, and other matters related to donor services.

  • Ability to maintain a flexible schedule, including travel, evenings, weekends, and on-call responsibilities.
  • Ability to lift up to 25 pounds unassisted.
