Your role

Reporting directly to the President, the Executive Assistant to the President and Corporate Secretary plays a strategic role in supporting executive leadership and administering the Corporation's governance framework.

Working closely with the President, the Board of Directors, the Executive Leadership Team and key stakeholders, the incumbent serves as a trusted advisor and central point of coordination, supporting effective decision-making, governance excellence and organizational effectiveness. Key Responsibilities
  • Leads the effective management of the President's Office, including the coordination of priorities, calendar, communications, travel, meetings and information requirements.
  • Provides strategic executive support to the President by managing correspondence, preparing executive materials, coordinating meetings and ensuring follow-up on key decisions, commitments and corporate initiatives.
  • Serves as a key liaison between the President, the Executive Leadership Team, the Board of Directors and internal and external stakeholders.
  • Coordinates special projects, sensitive matters and corporate events involving the President and the Board of Directors.
  • Acts as Corporate Secretary and oversees the planning and administration of Board and committee activities, including meeting agendas, materials, minutes, resolutions and follow-up actions.
  • Maintains official corporate records and supports compliance with applicable governance requirements, legislation, policies and recognized best practices.
  • Supports the appointment, onboarding and ongoing effectiveness of Board members and recommends continuous improvements to governance processes and practices.
  • Handles highly sensitive, confidential and privileged information with exceptional discretion, professionalism and sound judgment.


Job requirements
  • Bachelor's degree in Business Administration, Law, Governance, Public Administration or a related field, or an equivalent combination of education and experience.
  • Governance-related training or certification is considered an asset.
  • Minimum of seven (7) years of experience supporting executive-level leadership, combined with experience in corporate governance, Board administration, or corporate secretariat activities.
  • Strong knowledge of corporate governance principles, Board practices, meeting procedures and applicable legal and regulatory requirements.
  • Proven ability to anticipate needs, manage competing priorities and handle sensitive matters with discretion and sound judgment.
  • Demonstrated leadership, initiative and influence, with the ability to build effective relationships at all levels of the organization.
  • Excellent analytical, organizational and communication skills, including the ability to prepare high-quality corporate documents, reports and presentations.
  • Advanced proficiency with Microsoft 365 and governance or document management technologies; SAP knowledge is an asset.
  • Excellent verbal and written communication skills in both official languages.


Working conditions
