Full Job Description
The Operations, Finance & Administration Coordinator supports the day-to-day administrative, finance, logistics, and office operations of the US business. The role works with external organizations and internal colleagues across the US and Hong Kong to keep local sourcing, tax matters, invoicing, payments, and office needs on track.
Key Responsibilities
Operations, Logistics & Sourcing
Liaise with US and Canadian tax departments, customs authorities, local government institutions, suppliers, and customers.
Support local sourcing and logistics activities. Approximately 90% of goods follow an FOB flow from China.
Understand the remaining DDP flows and coordinate related activities with the local US team, including purchase orders, invoices, system entries, and payments.
Communicate process requirements and follow up to help ensure activities are completed accurately and on time.
Coordinate with suppliers, customers, customs authorities, tax departments, and local government institutions on operational matters.
Finance & Accounting Support
Manage invoice administration, maintain visibility of invoices due, and guide senior Finance manager on payments requiring action.
Support accounts payable and accounts receivable activities, including following up with local customers on outstanding payments.
Coordinate with internal stakeholders when accounts-payable processing or payments are delayed or require resolution.
Work with General Accountant in Hong Kong on tax matters and related accounting questions.
Take a practical, problem-solving approach to resolving US tax and finance issues, escalating when appropriate.
Office Administration
Coordinate office-management needs, including arrangements for CEO’s New York trips and team activities such as birthday cakes and lunches.
Help ensure routine office and administrative requirements are handled smoothly.

Compensation/Benefits:
The approximate annual base salary range for this position is $80,000.00 - $95,000.00, which can vary based on role requirements, skill set, and years of experience.
