Job Overview:

Contracts Specialist - PSC

The Contracts Specialist in California will thrive in a dynamic, detail-driven environment and support the lifecycle of our project contracts from negotiation to closeout.

Primary Responsibilities
  • Take ownership of contract redlining and negotiation process from inception to delivery.
  • Maintain and track accurate version control for exhibits, agreements, and supporting documentation.
  • Perform document management functions like organizing internal and external repositories, maintaining current records, and ensuring that file structures are properly maintained.
  • Take comprehensive notes during contract, exhibit, and coordination calls.
  • Coordinate cross-departmental communication, scheduling, and follow-ups on behalf of the proposal team.
  • Deliver weekly status reports and exhibit updates to Project Managers, leadership, and key stakeholders.
  • As a liaison between internal departments, external partners, and clients, ensure clear communication of project needs and deadlines.
  • Lead or facilitate client and stakeholder meetings, taking detailed action notes and ensuring accountability for deliverables and timelines.
  • Monitor project closeout to verify all contractual obligations are fully documented and fulfilled.
  • Provide guidance and support to project management teams in drafting or proofreading contractual notices and letters.
  • Support Legal and Project teams during mediation, arbitration, or litigation processes as needed.
  • Compare, track, and merge contractual documents and exhibits using Microsoft Word (Tracked Changes)

Education & Experience
  • Bachelor's Degree required (Business, Construction Management, Engineering, or related field preferred).
  • 5+ years of experience in contract administration at a General Contractor or EPC, preferably within large-scale or complex construction environments.
  • Proven ability to manage fluctuating daily priorities and multiple concurrent projects.

Skills & Abilities
  • Exceptional organizational and documentation skills with sharp attention to detail.
  • Strong interpersonal communication across all organizational levels - from administrative staff to executive leadership.
  • High proficiency in Microsoft Office Suite (especially Word and Excel), including expertise in using tracked changes and document comparisons.
  • Experience with Adobe Acrobat and/or Bluebeam preferred.
  • Comfortable leading or presenting to diverse groups, including clients and internal stakeholders.
  • Ability to work independently while maintaining a collaborative, team-oriented approach.
