Timecard Processing
- All Healthcare Contract Personnel (HCP) are required to use the client's designated timekeeping system.
- HCP must submit a timekeeping report of approved hours. This report serves as the official documentation of actual hours worked and eligible for invoicing. No other format will be accepted as approval of hours worked.
- HCP printouts are due by Monday at 5:00 PM EST for the previous workweek. Printouts submitted after this deadline may result in billing and payment delays.
- HCP printouts must be uploaded into the Vendor Management System (VMS).
- The client will only pay for services rendered based on actual hours worked and approved, as indicated on the client's timekeeping printout. Hours not reflected on the approved printout will not be invoiced without written approval.
- If HCP is guaranteed hours that are not met due to the client's reduced scheduling, HCP must clearly indicate the requested guarantee and submit supporting documentation with a manager's signature. Failure to submit the required notations and signature may result in forfeiture of guaranteed hours.
- Timecards that are non-compliant will NOT be processed.
- Any HCP hours that are incomplete, inaccurate, or otherwise ineligible for processing must be verified, corrected, and resubmitted. This includes providing a legible copy of HCP hours on the timekeeping printout.
- If a discrepancy with hours recorded in the VMS is identified, the hours must be disputed within VMS by Thursday at 5:00 PM EST. Disputes submitted after this deadline may result in delayed or forfeited payment.
- Hours not entered in the VMS within fourteen (14) days of services provided may not be eligible for processing.
