Full Job Description
Willis Johnson Wealth is looking for a hands-on Business Systems Manager to lead our technology initiatives and process improvements, and to run our systems day to day. Working with the Managing Director of Operations, you'll make our systems simpler, better connected and more reliable, so advisors and operations teams can stay focused on clients.
This role has no direct reports. You'll manage our IT support partner and software vendors, and you'll fix things yourself when they break. You'll report to and partner with the Managing Director of Operations, who sets systems architecture and the technology roadmap. You'll lead the initiatives that deliver it. Expect to start at about 30% of your time leading technology initiatives and process improvements and 70% running and supporting our systems day to day, with a target of 50/50 after your first year. What Success Looks Like
Technology initiatives and process improvements are delivered from plan to measured result, in partnership with the Managing Director of Operations
Critical issues are resolved the same day, and systems come back quickly when they go down
Integrations run reliably, and failures are caught before an advisor notices
Data in our CRM and portfolio accounting system is clean, measured and improving
Every critical system and integration is documented well enough that someone else could run it
Hours of manual work are eliminated every quarter, and the numbers show it
You'll build a culture of ownership: when something breaks, people know it's handled

Map how work flows across Client, Investment and Tax Operations, and find where manual steps and duplicate entry slow teams down
Propose and lead process improvements with the managers who own those processes
Measure the results: hours saved, errors removed, faster turnaround
Systems Administration & User Support
Own day-to-day administration of our core platforms: CRM, portfolio accounting, tax software, custodian platforms and Microsoft 365
Run onboarding and offboarding, giving each person only the access their role needs, with multi-factor authentication everywhere
Be the first call when something breaks, including early mornings before the market opens
Train team members on the tools they use every day
Integrations & Automation
Maintain and monitor the integrations and data syncs between our systems
Build alerts so silent failures get caught early
Automate repetitive manual work using scripting (Python or PowerShell) and integration tools
Write runbooks for every critical integration
Data Quality & Reporting
Monitor and improve data quality across our systems of record
Build and maintain Power BI reports and dashboards for leadership and team managers
Partner with Investment Operations on data governance
Vendor & IT Partner Management
Own day-to-day software vendor relationships, support escalations and renewals
Direct our managed IT partner on helpdesk, network and cybersecurity work
Maintain our software register with owners, renewal dates and spend
Make purchasing decisions within an approved spending limit
Partnership & Compliance
Help shape the technology roadmap with the Managing Director of Operations, bringing recommendations from what you see every day
Work closely with the Client, Investment and Tax Operations managers, who rely on this role every day
Support our compliance program: books and records, email and text archiving, vendor due diligence, business continuity and cybersecurity
