Pay: $80,000 - $92,400 annually

Location: Amherst, NY

Schedule: Monday - Friday, 8:00 AM - 3:30 PM

Your Impact as the The Assistant Superintendent of Program and Administrative Services

The Assistant Superintendent of Program and Administrative Services provides Academy-wide leadership and operational support across the Early Intervention and Education Division. This position serves as a key member of the division leadership team and is responsible for coordinating strategic initiatives, leading high-level projects, overseeing Administrative Services, improving systems and processes, supporting compliance efforts, and advancing organizational goals. The Assistant Superintendent of Program and Administrative Services acts on behalf of the Superintendent as assigned and provides leadership for projects, committees, initiatives, and operational functions that span multiple buildings, programs, and departments. This position does not directly supervise principals or directors but provides guidance, coordination, accountability, and leadership related to division-wide initiatives, administrative systems, and operational priorities. This role also provides oversight of the Administrative Services Department and collaborates closely with educational, operational, and executive leadership teams to ensure efficient and effective support of students, families, staff, and school districts.

Strategic Leadership and Special Projects

  • Lead high-priority projects identified by the Superintendent; make recommendations for initiatives when needs are identified.
  • Coordinate implementation of Academy and department-specific strategic goals, improvement plans, and organizational initiatives; support agency-wide strategic planning initiatives
  • Facilitate project teams, workgroups, and committees involving multiple departments or programs.
  • Develop recommendations, implementation plans, procedures, and communication strategies related to new initiatives.
  • Monitor progress toward project goals and ensure timely completion of assigned initiatives
  • Represent the Superintendent at meetings, committees, and events as assigned.


Program Support and Academy Leadership

  • Provide support and feedback to Principals, Assistant Principals, and other program leaders regarding implementation of initiatives, operational concerns, and organizational priorities, including sharing guidance and expectations/monitoring for accountability
  • Coordinate and monitor Academy-wide systems to promote consistency across programs, where applicable/needed.
  • Support program development, expansion efforts, and implementation of new services.
  • Provide leadership coverage and administrative support to ensure building leaders have protected administrative time regularly, as well as during vacancies and leaves.


Administrative Services Leadership

  • Provide oversight of the Administrative Services Department.
  • Collaborate with Administrative Services leadership to ensure efficient and effective administrative operations throughout the division.
  • Oversee systems related to records management, confidentiality, document retention, enrollment support, office operations, reception functions, intake processes, scheduling support, and related administrative functions.
  • Evaluate administrative systems and identify opportunities for increased efficiency, standardization, and customer service.
  • Develop and implement processes that enhance organizational effectiveness and administrative support services.
  • Ensure administrative operations support agency goals, regulatory requirements, and operational needs.
  • Collaborate with Administrative Services staff regarding workflow management, program support, and continuous improvement efforts.


Compliance, Quality Assurance, and Continuous Improvement

  • Support regulatory compliance efforts related to NYSED, OCFS, IDEA, and other applicable requirements.
  • Evaluate operational and program data to identify trends and improvement opportunities, as it relates to special projects or specific job duties.
  • Collaborate with Quality Assurance, Compliance, Human Resources, Administrative Services, and educational leadership teams to strengthen organizational systems and outcomes.


Family, District and Community Relations

  • Support positive relationships with families, school districts, community agencies, and stakeholders.
  • Participate in district meetings, parent meetings, admissions activities, tours, and community events as assigned.
  • Assist in resolving significant family, district, or program concerns requiring administrative involvement.
  • Serve as a liaison between departments to promote effective communication and responsive customer service.


Operational Management

  • Oversee the food service program, including direct supervision of food service management.
  • Coordinate Academy-wide operational processes requiring collaboration among multiple departments.
  • Assist with emergency preparedness initiatives, crisis response planning, and operational continuity efforts.
  • Oversee implementation of operational initiatives assigned by the Superintendent.


Other Duties

  • Perform other duties and assume other responsibilities as assigned by the Superintendent of Schools.
  • Serve as acting representative of the Superintendent for designated projects, meetings, initiatives, and operational matters.

EDUCATION and/or EXPERIENCE:

  • Master's Degree or Ph.D. in Education, Special Education, Psychology or related field
  • Minimum of five years' experience school building leadership and operations management, in an education setting
  • Direct clinical experience with children and/or adults with developmental disabilities preferred


CERTIFICATES, LICENSES, REGISTRATIONS:

  • School Administrator/Supervisor, School Building Leader Certificate or School District Leader Certificate required


COMMUNICATION SKILLS:

  • Command of the English language exhibiting the ability to verbally communicate, read and interpret general education periodicals/professional journals, technical procedures, or government regulations
  • write and comprehend routine instructions, short correspondence, reports, etc.
  • Ability to effectively present information informally in one-on-one or small group situations, as well as formal presentations to large groups


OTHER SKILLS & ABILITIES:

  • Ability to define problems, collect data, establish facts, draw valid conclusions, solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret an extensive variety of instructions furnished in written, oral, diagram, or schedule form.

  • Constantly able to position self to safeguard students and navigate behavioral challenges.

  • Must be able to effectively utilize mats and Ukeru pads and other protective equipment as trained.

  • The person in this position frequently communicates with staff and students. Must be able to constantly converse/communicate so others understand and exchange accurate information in these situations.

  • Must be able to move throughout the building to provide staff and student support.

  • Must be able to observe student and staff behavior from various distances.

  • Constantly operates a computer and other devices, such as an iPad, copy machine, and computer printer.

  • Must be able to effectively apply all strategies for Crisis Intervention and Prevention - Revised (SCIP-R) procedures as well as all Core, Specialized and Restrictive physical interventions appropriately and safely for all students participating in programs.
