GENERAL DESCRIPTION:

Under general supervision, the Assistant, Corporate Records performs daily operational tasks and provides administrative support for the Municipality's corporate-wide records management system and its records storage facility. The incumbent is responsible to safeguard the confidentially and security of all corporate records and ensure internal client service standards are met.

RESPONSIBILITIES:

  • Perform data entry, information search and retrieval, digitization, and support services.
  • Assist with the implementation, creation, and maintenance of all documents, files, notifications, spreadsheets, statistical reports, presentations, and other related documentation.
  • Accession of new records and disposition of records in compliance with retention schedule policies.
  • Conduct file searches and retrievals.
  • Provide direct support and records management advice for internal and external enquiries, redirecting as required.
  • Maintain and update the Corporate Records classification and retention schedule.
  • Manage the Corporate Records shared email account and the calendar of assigned staff.
  • Maintain and track loaned items.
  • Maintain relationships with vendors.
  • Track, maintain, and coordinate the ordering of supplies and materials.
  • Perform data entry of vendor invoices and track expenses incurred by the department.
  • Participate in training sessions and professional development opportunities to stay informed on records and information management best practices and standards.
  • Ensure the cleanliness and security of the records storage facility.
  • Develop and ensure adherence to safety procedures and support health and safety inspections.
  • Coordinate maintenance at the records storage facility.
  • Perform other related duties as required.


QUALIFICATIONS

KNOWLEDGE, SKILLS AND ABILITIES:

  • Outstanding attention to detail.

EDUCATION AND EXPERIENCE:

  • Diploma in Records and Information Management or Library Information Technology is required.
  • Two (2) years of experience in records management including experience with physical and electronic records, retrieval and access management, compliance and security, interdepartmental coordination, and archiving and retention management.
  • Familiarity with imaging applications/technology, Microsoft SharePoint, and Purview is an asset.
  • Experience working in a public sector environment is an asset.


OTHER REQUIREMENTS:

  • A valid Alberta Class Five (5) Operator's License is required as incumbent will be required to operate a personal or municipal vehicle for business use.
  • Must be medically and physically able to perform all the duties of this position on an ongoing basis.
