Overview
How you can make a difference
HealthEquity has a vision that by 2030 we will make HSAs as wide-spread and popular as retirement accounts. We are passionate about providing a solution that allows American families to connect health and wealth and build health savings for life. Through our innovative technology and superior service delivery, our members gain valuable insights to better save and spend their healthcare dollars.
The Applications Admin III will own HealthEquity's SaaS application catalog, a key operational capability within IT. Right now, application evaluation, catalog upkeep, and standards enforcement are shared across teams and have no single owner, which makes it harder to maintain consistency, visibility, and compliance. In this role, you'll make sure every application meets our minimum technical and security requirements, keep the catalog accurate and current, and set repeatable procedures for evaluating and maintaining the applications HealthEquity depends on. You'll coordinate the work of a two-person team without direct reporting authority, partner with IT, Information Security, Procurement, and business teams to collect and share information, and use AI tools such as Claude in your daily work.
What you’ll be doing
- Guiding SaaS requests through Finance, Cybersecurity, and IT approvals and Technology Review Board review, keeping requesters informed and requests moving.
- Assessing technical fit at the IT checkpoint, including compatibility with existing systems, SSO support, and minimum requirements, and recommending approval or rejection. For example, a solution that doesn't support SSO doesn't move forward.
- Preparing input on technical ownership, implementation needs, and possible duplication for Technology Review Board decisions.
- Serving as interim technical owner for SaaS applications that don't have a dedicated administrator, and finding each one a permanent owner so it moves from unmanaged (shadow IT) to a fully supported state.
- Confirming that applications in the catalog continue to meet minimum technical requirements, such as supported versions, SSO, and active vendor support, and escalating those that don't.
- Partnering with the SaaS inventory owner to keep technical attributes accurate and complete.
- Providing technical fit and usage input to support application rationalization.
- Identifying unapproved or free-tier tools and routing them to Cybersecurity for review.
- Recording evaluation decisions and application details through accurate, consistent data entry.
- Leading and prioritizing the work of a two-person team without direct reporting authority.
- Turning loosely defined work into clear, repeatable, documented procedures, and tracking progress through completion.
- Partnering with teams across HealthEquity to collect and share application information.
- Explaining technical requirements and decisions clearly to both technical and non-technical audiences.
- Using AI tools, including Claude, regularly to speed up documentation, analysis, and communication, and finding ways to improve team workflows with AI.
- Performing other duties as assigned to support business and team needs.
What you will need to be successful
Education and Experience:
- Bachelor's degree in Information Technology, Business, or a related field, or equivalent practical experience.
- At least 3 years of experience in project management, IT operations, or application administration.
- Hands-on experience managing SaaS applications, including SSO setup and ongoing system upkeep.
- Experience keeping an application inventory, catalog, or CMDB current.
Technical Skills:
- Good general understanding of how enterprise applications work, integrate, and authenticate.
- Ability to assess an application against defined requirements and make a clear, defensible recommendation.
- Accuracy and attention to detail in data entry and record-keeping.
- Experience using AI tools (such as Claude) in daily work, or a strong willingness to adopt them quickly.
- Familiarity with identity platforms (e.g., Okta, Microsoft Entra ID) and SAML/OIDC is a plus.
- Experience with ServiceNow or a similar ITSM/CMDB platform is a plus.
Other Skills:
- Self-starter with a strong work ethic who works well with minimal direction.
- Strong procedural thinking, with the ability to turn loosely defined tasks into repeatable, documented processes.
- Excellent written and verbal communication skills.
- Ability to lead and influence peers without direct reporting authority.
- Strong collaboration skills, with the ability to partner across IT, Security, Procurement, and business teams.
- Project management certification (PMP, CAPM, or similar) is a plus but not required.
