Administrative and Governance Manager

Position Summary:

The Administrative and Governance Manager (AGM) is a confidential and managerial position that serves at the discretion of the President. This role is a core member of the Senior Staff leadership team and is responsible for ensuring operational excellence, financial integrity, and administrative efficiency across the organization.

The Administrative and Governance Manager organizes and coordinates office administration and financial systems to ensure the organization operates effectively, responsibly, and in alignment with SEIU Virginia 512's mission and bylaws.

The ideal candidate thrives in a mission driven environment, exercises sound judgment, maintains strict confidentiality, and is able to work independently while supporting a diverse and growing union staff and membership.

Key Responsibilities

Organizational Operations
  • Oversee daily office and administrative operations
  • Serve as the primary point of contact for maintenance, supplies, vendors, equipment, mailing, shipping, and facility needs
  • Develop, review, and implement operational policies and procedures
  • Manage contracts and vendor relationships, including negotiations and compliance
  • Assign and monitor administrative staff responsibilities and performance
  • Ensure accurate record keeping, file maintenance, and data integrity
  • Maintain security and confidentiality of organizational financial data and records
  • Provide administrative support to the President and Executive Board
  • Coordinate travel, meeting logistics, and event execution
  • Support planning and implementation of statewide meetings, conferences, and union events

Financial Oversight & Compliance
  • Oversee financial systems and ensure strong internal controls while working with the approved vendors and audit firms
  • Track bank accounts, deposits, balances, and provide regular financial reporting to leadership
  • Monitor invoices, approve and process payments, conduct reconciliations, and report variances
  • Prepare monthly financial statements, including cash flow, income and loss statements, and balance sheets
  • Assist in budget development and monitor expenditures against approved budgets
  • Analyze financial variances and recommend corrective actions
  • Support annual audit processes and tax filings
  • Prepare required financial disclosure reports in compliance with County, State, Federal, and SEIU regulations
  • Ensure compliance with GAAP and sound accounting practices


Required Qualifications

Knowledge & Skills
  • Strong understanding of accounting, budgeting, and administrative management practices
  • Knowledge of GAAP and bookkeeping principles including accounts payable and receivable
  • Experience with payroll processing support: ADP and Paychex
  • Proficiency in Microsoft Office Suite and accounting software (SAGE preferred)
  • Experience with financial transaction reporting and reconciliations
  • Strong organizational, planning, and problem solving skills
  • High degree of accuracy and attention to detail
  • Ability to multitask and manage competing priorities
  • Excellent verbal and written communication skills
  • Ability to supervise and support administrative staff


Education & Experience
  • Bachelor's degree in Finance, Accounting, Business Administration, or related field, and at least two years of relevant experience

OR
  • Minimum of five years of related professional experience


Experience in a labor union, nonprofit, advocacy organization, or mission-driven environment is strongly preferred.

Scope and Nature of Supervision:

The Administrative and Governance Manager reports directly to the President or her/his designee.

Working Conditions:
  • Willingness and ability to work long, irregular hours, including weekends and holidays.
  • Must have a valid U.S. driver's license, reliable use of a car for work, and required automobile insurance
  • Willingness and ability to travel if required
  • Work is generally performed in the Fairfax, Virginia office, but travel to other offices in Richmond and Norfolk may be needed at times.

Salary and Benefits:
Starting salary range $80,000- $85,000 annually, based on experience, with a generous benefit package, including fully-paid health insurance, paid leave, auto allowance, and cell phone allowance. Position is an overtime-exempt, non-bargaining unit, salaried position.
