We are seeking a proactive, hands-on Facilities Manager to oversee the day-to-day operation, maintenance, safety, and continued improvement of our office environment. The Facilities Manager will report directly to the Associate Director of Experience and work in close partnership with them to oversee building operations, facilities planning, renovations, capital improvements, and the continued evolution of the workplace.
The ideal candidate is highly organized, resourceful, mechanically inclined, and comfortable moving between hands-on maintenance, vendor management, regulatory coordination, emergency response, and larger renovation and capital improvement projects. We are looking for someone who notices what needs attention, takes initiative, and follows issues through to resolution.
What you'll doBuilding Operations & Maintenance- Oversee the ongoing maintenance and physical condition of the office and property.
- Perform routine light maintenance and repairs, including light bulb and ceiling tile replacement, minor office repairs, hanging artwork and shelving, and similar tasks.
- Proactively identify maintenance needs and address issues before they impact employees or business operations.
- Order and maintain appropriate building parts, tools, equipment, and maintenance supplies.
Vendor & Contractor Management- Serve as the primary point of contact for facilities-related vendors and contractors.
- Coordinate and oversee plumbing, electrical, HVAC, roofing, landscaping, sump pump, waste removal, cleaning, security, fire protection, and other building services.
- Obtain estimates, coordinate scheduling, oversee onsite work, and ensure projects are completed appropriately and on time.
- Maintain strong vendor relationships while monitoring service quality, responsiveness, contracts, and costs.
Building Systems, Safety & Compliance- Oversee critical building systems, including generator, HVAC, fire alarm and life-safety equipment.
- Coordinate routine inspections, preventive maintenance, testing, and required service.
- Maintain schedules and documentation for fire extinguishers, fire protection systems, generator maintenance, and other required inspections.
- Maintain organized records of inspections, warranties, service agreements, repairs, and facilities documentation.
Renovations & Capital Improvements- Work closely with the Associate Director of Experience to plan, coordinate, and execute facility renovations, workplace improvements, and capital projects.
- Partner on projects such as executive boardroom and conference room renovations, workspace reconfigurations, flooring replacement, floorplan updates, multifunctional workspaces, and aesthetic improvements.
- Coordinate construction, maintenance, repairs, and vendor work around high-profile client meetings, executive meetings, employee events, and other important onsite activities, working closely with the Associate Director of Experience to ensure the workplace remains polished, professional, and client-ready.
- Assist with project budgeting, proposals, estimates, schedules, permitting, and implementation while minimizing disruption to business operations.
Emergency & Incident Response- Serve as a key facilities point person during building emergencies, storm damage, equipment failures, leaks, power outages, and other unexpected incidents.
- Coordinate immediate response, contractors, remediation, and follow-up repairs.
- Assist with insurance claims and documentation related to building damage, including gathering estimates, photographs, invoices, and supporting information.
- Coordinate communication with landlord, property representatives, insurance contacts, vendors, and internal leadership during facility-related incidents.
Requirements- 5+ years of experience in facilities management, building operations, property management, construction/project management, or a related field.
- Strong working knowledge of general building maintenance and common commercial building systems.
- Comfortable performing light hands-on maintenance and troubleshooting while knowing when specialized or licensed contractors are required.
- Demonstrated experience managing vendors, contractors, service agreements, and repair projects.
- Experience coordinating renovations, construction, or capital improvement projects strongly preferred.
- Strong project management, organizational, and follow-through skills.
- Ability to manage multiple priorities and respond calmly and effectively to urgent building issues.
- Strong communication skills and the ability to work effectively with employees, executives, vendors, landlords, contractors, and local officials.
- Comfortable using technology to maintain facilities records, schedules, budgets, and project documentation.
- Ability to perform the physical requirements associated with a hands-on facilities role, including walking the property, using basic tools, moving supplies and equipment, and performing minor repairs.

The pay range for this role is:
40 - 50 USD per hour (Morristown, NJ)
