Job Summary

The Facility Manager is responsible for the day-to-day administration of policies, procedures and programs that assures a well-managed, well-maintained portfolio of building(s). Maximum emphasis is placed on providing a positive response to the concerns and needs of the occupants and quality programs, in coordination and conjunction with the client's goals and objectives and compliance with the client's Master Service Agreement. This position is onsite in Reston, VA.

Responsibilities

  • Thrive in a fast-paced environment, effectively prioritizing competing demands, responding to changing client needs, and maintaining high service levels and attention to detail across day-to-day operations and multiple concurrent projects.
  • Manage facility projects from planning through completion, including office moves, furniture reconfigurations, space planning, renovations, maintenance initiatives, and other local, regional, and national projects designed to improve processes, enhance the workplace, increase efficiency, and streamline operations.
  • Oversee daily workplace and facility operations, including mailroom, office services, workplace operations, space utilization, furniture, and related services, while maintaining the interior and exterior condition, appearance, functionality, and overall operation of managed properties.
  • Develop and manage operating budgets, including planning, forecasting, expense tracking, variance analysis, cost control, and identifying cost-saving opportunities while maintaining service quality and client expectations.
  • Lead, develop, and manage facilities staff, providing clear direction, establishing performance and development goals.
  • Build and manage strong vendor and service-provider relationships, including vendor selection, contract negotiations, service agreements, performance management, issue resolution, and ensuring work is completed safely, on time, within budget, and to agreed-upon standards.
  • Maintain strong client, landlord, managing agent, vendor, and occupant relationships, providing consistent communication regarding property conditions, operations, projects, service levels, and business needs while delivering a high level of customer service.
  • Establish and maintain operational disciplines, processes, controls, and auditing procedures for managed functions in accordance with company and client policies, standards, and requirements.
  • Develop and execute preventive and ongoing maintenance programs for interior and exterior building systems and facilities, supporting reliable operations, property appearance, safety, and customer satisfaction.
  • Collaborate with clients on sustainability and Green Initiatives, supporting programs that improve environmental performance, operational efficiency, and workplace sustainability.
  • Participate in client, account, vendor, and internal meetings and activities as directed by account management and perform other duties and special projects as assigned.


Qualifications

  • Bachelor's degree
  • Minimum 5 years facilities management experience
  • Facilities management certification preferred (e.g., IFMA Certified Facility Manager)
  • Participation in recognized professional association (e.g. IFMA)
  • Strong verbal and written communication skills

  • Proficiency with Microsoft Outlook, Word, PowerPoint and Excel
