The Executive Assistant will be a critical day-to-day partner to the Head of CERA Research and Advisory and other Opco members as needed in providing personalized and anticipatory administrative support. This role requires exceptional judgment, discretion, and organizational ability to manage complex calendars, coordinate global travel and meetings, support executive communications, and help drive day-to-day operating efficiency across a fast-paced, highly visible leadership environment.
Key Responsibilities- Manage complex, frequently shifting calendars for multiple senior executives, including prioritizing requests, resolving conflicts, and ensuring alignment across internal and external stakeholders.
- Arrange seamless business travel with attention to personal preferences, visa requirements, and contingency planning for schedule disruptions
- Plan and execute high level executive meetings, leadership reviews, town halls, offsites, and other business events, including scheduling, agenda coordination, materials preparation, logistics, and follow-up actions.
- Prepare, format, and manage high-quality presentations, correspondence, reports, and other executive materials with a high degree of accuracy and professionalism.
- Serve as a trusted point of coordination across senior leaders, finance partners, and broader stakeholders, handling sensitive and confidential information with discretion.
- Track priorities, deadlines, and follow-up items to help ensure timely execution of key business activities and leadership commitments.
- Support invoice processing, expense management, purchase orders, and other administrative workflows in accordance with company policies.
- Help drive operating efficiency by improving administrative processes, anticipating needs, and identifying opportunities to streamline support for the executives and their teams.
- Support New York based leadership meetings, executive visits, events and local Energy engagement initiatives.
Required Qualifications- A minimum of 10+ years of administrative experience with prior experience as an executive assistant supporting C-Suite, President or direct report to the CEO at a large, global organization.
- Demonstrated ability to use judgment, discretion, and maintain confidentiality on sensitive issues.
- Strong experience in scheduling and managing a complex, demanding, and constantly changing schedule
- Experience with planning international travel and completing related expenses.
- Experience scheduling meetings (virtual, onsite, offsite) within various time zones.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
- Strong written and verbal communication skills.
- Experience working a matrixed and corporate environment
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficient in Microsoft Teams, Google Meet, Zoom and other virtual meeting platforms.

This role is limited to persons with indefinite right to work in the United States.
The role requires in person attendance in New York a minimum of 2 days per week, with additional days/ flexibility to be in the office when needed
