Your role

The Team Administrator will lead operational, client service, and administrative functions for a high-performing financial advisor team serving ultra-high-net-worth clients. This individual serves as the operational backbone of the team-ensuring exceptional execution, leading risk and compliance initiatives, and a seamless client experience. The ideal candidate is a seasoned and decisive operations professional with deep knowledge of wealth management processes, strong leadership capabilities, an ability to navigate firm processes efficiently, and who can drive innovation with a technology-forward mindset.

We're looking for a strong operational leader to manage:
• Operational Leadership & Execution: Act as the primary owner of operational execution, controls, and risk management for our advisory team, ensuring accuracy, timeliness, and adherence to regulatory and firm standards. Establish, refine, and enforce operational workflows, controls, and best practices in a fast-paced environment and manage daily operational priorities while balancing long-term process improvement initiatives
• Client Service & Relationship Support: Deliver white-glove service for ultra-high-net-worth individuals and family offices with complex financial structures, partnering closely with the financial advisors to anticipate client needs and act discretion and responsiveness.
• Account Administration & Transactions: Oversee and execute a range of important administrative tasks including account openings, account maintenance, and transfers across multiple account types and entities, wires, disbursements, journals, and cash movements with precision and appropriate controls. Ensure timely and accurate processing of all client account paperwork
• Compliance, Risk & Documentation - Manage Know Your Client (KYC), AML, Reg BI and related compliance requirements across the client base ensuring all documentation, approvals, and supervisory processes meet regulatory and firm standards along with adherence to FINRA, SEC, and firm supervisory policies and procedures. Maintain strong controls around sensitive transactions and client data and partner effectively with compliance, legal, risk, and surveillance teams to address inquiries and reviews
• Team Leadership & Development: Manage and develop operations and client service team members including setting priorities, workflow standards, and performance expectations for the operations team. Build a high accountability culture focused on excellence, efficiency, and client satisfaction and lead by example in a dynamic, high-expectation, in-office team environment
• Technology, Systems & Innovation: Serve as the team's operations technology lead, with strong knowledge of platforms, systems, and workflows. Be the team champion for implementing firm-approved tools, platforms, and AI-driven solutions to drive efficiency, reduce risk, and enhance client experience

Your expertise
• Series 7 and 66 licenses
• Bachelor's degree
• Significant experience in wealth management, private banking, or financial advisory operations, preferably supporting ultra-high-net-worth individuals or family offices
• Demonstrated expertise in account administration, trading, cash management, and compliance processes
• Strong working knowledge of industry rules, regulations, and operational controls
• Deep understanding of broker dealer operations, trading, cash management, and compliance requirements
• Proven experience leading and developing operations or client service teams
• Demonstrated ability to operate confidently within large firm processes and approval structures, with a high level of judgement and attention to detail
• Exceptional organizational and execution capabilities in a high-volume, high-touch environment
• Technology-forward mindset with comfort adopting and leveraging new firm-approved platforms and AI-enabled tools
• Strong problem-solving skills with the ability to find creative, compliant solutions to complex client needs
• Excellent communication skills, both written and verbal
• Trusted, steady presence able to lead in fast-paced and high-stakes situations
• Professional demeanor with discretion and integrity

Salary information

The indicative gross base salary range as a full-time equivalent role:
• United States-New York-New York min USD 100000 - max USD 140000/annum

The expected salary for this role will be determined by relevant factors which may include but are not limited to, role-required experience, qualifications, education, location and skill level.
