Full Job Description
POSITION PURPOSE:

The Talent Operations Lead plays a key role in supporting CIM's talent ecosystem by driving the systems, processes, and operational foundations that enable both Talent Acquisition and Learning & Development to deliver exceptional, scalable programs. This role sits at the intersection of people, process, and technology-helping ensure our talent lifecycle runs with efficiency, clarity, and consistency from candidate attraction through employee development.

As a key partner to Talent Advisors, hiring managers, and across our Learning & Development programs, the Talent Operations Lead translates strategy into streamlined workflows, data-driven insights, and high-impact experiences. This includes improving recruitment operations, supporting recruiter and hiring manager enablement, and managing our learning platforms and development program execution to ensure content, systems, and delivery methods meet evolving workforce needs.

By building and maintaining the tools, processes, and program operations that underpin how we hire, onboard, learn, and grow CIM employees, the Talent Operations Lead strengthens the full talent lifecycle and enhances CIM's ability to attract, develop, and retain top talent.

RESPONSIBILITIES:

Process & Operations
  • Optimize and streamline recruitment processes, tools, and Standard Operating Procedures (SOPs) to enhance efficiency and candidate experience.
  • Maintain and continuously improve operational documentation across TA and L&D systems.
  • Support onboarding of Talent Advisors and Coordinators to ensure a smooth transition into the organization.
  • Oversee the end-to-end temporary hires onboarding and off-boarding process.
  • Plan and facilitate recurring team meetings, in partnership with Talent Acquisition Manager.

Systems Ownership & Administration
  • Serve as the primary administrator for the LMS/LXP, ATS (Lever), EchoSpan 360 platform, and other related tools.
  • Configure course set up, dynamic rules, and reporting schedules within the LMS to monitor completions.
  • Own the operational execution of learning initiatives, including logistics, communication, and tracking for programs such as the Manager Development Program.
  • Conduct User Acceptance (UA) and Quality Assurance (QA) testing for content and system updates.

Stakeholder & Vendor Partnerships
  • Collaborate with stakeholders to design and develop engaging, visually appealing learning content using interactive methods.
  • Partner with TA and L&D stakeholders to improve processes, metrics, and system usage.
  • Manage vendor relationships, including research, negotiation, contract management, and ensure service levels are met.

Reporting and Insights
  • Generate, schedule, and send regular reports to key stakeholders to inform decision making around recruitment, learning, and performance management.
  • Analyze recruitment and learning data and trends and provide recommendations to track and enhance the candidate and employee experience.
  • Support D&I reporting and other people or learning data needs for HR-related initiatives.

Supervisory Responsibilities
  • Oversee TA Coordinators by providing coaching, guidance, and clear expectations that drive accountability and performance.
  • Support the growth and development of TA Coordinators through regular feedback and ongoing performance and development conversations.

Other:
  • Perform additional duties as assigned, demonstrating flexibility and adaptability in a dynamic work environment.


EDUCATION/EXPERIENCE REQUIREMENTS: (including certification, licenses, etc.)

  • 5+ years of experience in talent acquisition, including 2+ years in recruitment operations.
  • 2+ years of recruiting systems administration experience. Proficiency with applicant tracking systems (preferably Lever) and related recruitment tools required.
  • Experience with additional talent and leadership systems and processes preferred, but not required (e.g. learning technologies, education platforms, learning management systems (LMS) administration, etc.). Design or e-learning development capabilities strongly preferred.
  • Experience managing a small team preferred.
  • Bachelor's degree (Human Resources or a related field a plus).
  • Solid understanding of the Talent Acquisition function and recruiting lifecycle.
  • Proficient in creating reports, analyzing data, and drawing insights.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word, etc.).
  • Proficiency with legal contract review and vendor negotiation process strongly preferred.

Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required. At CIM, base pay is one part of the total compensation package. For this role, bonus compensation may be a significant part of the total compensation.
