Job Overview:

The Multi Site Lifestyle Director for the Multi Family portfolio may be responsible for working with various committees to support the development and implementation of fun-filled, lifestyle enriching events and programs. These events and programming are designed to contribute to resident Multi Family relations through social and community involvement, participatory and spectator events, culinary, shopping, retail, creative and educational coursework, lecture series, fitness / wellness classes, etc. This individual will build and foster professional relationships with members and residents to assist in custom-designing programs to encourage resident participation. The position requires the exercise of discretion and independent judgment. Strong organizational, marketing, special event planning, customer service, and supervisory skills are required with effective interpersonal, writing and oral communication abilities.

Your Responsibilities:
  • Act as the face of resident relations for the properties and Ambassador for residents and staff in accordance to the brand standards set forth for by First Service Residential.
  • Build a professional rapport/trust with all residents throughout their residency, understanding likes/dislikes, personal preference and priorities relative to their high-rise living expectations at our Multi Family communities.
  • Build partnerships with local businesses and organizations to provide opportunities to engage in various community service projects and activities in the local area, including the development of sponsorships.
  • Create invitations, announcements, and postings to market community programs and promote participation.
  • Proactively develop and maintain on-site lifestyle marketing signage and communications to promote resident events.
  • Listens attentively to questions and comments. Communicates in a professional and composed demeanor under all circumstances.
  • Serve as local information resource and reference for residents.
  • Responsible for managing multiple projects and work assignments simultaneously.
  • Possess excellent interpersonal skills and the ability to speak to all levels of clientele
  • Responsible for planning special events, tours, scheduling timetables and itineraries, for multi-site operations and being the conduit for retail connections and appointments as applicable for our residents.
  • Possess superior customer service skills, good common sense and the ability to creatively think on one's feet and have high expectations for quality and excellence in service expectations and deliverables.
  • Must have strong discipline, be able to work independently and accomplish projects with little supervision. This position requires an independent operator, cross functional capabilities and strong multi-tasking abilities.
  • Responsible for supervising and scheduling the Butler/Bartender staff for special events/residential events and coordinating operational needs/staffing through the General Managers and Assistant General Managers.
  • Responsible for networking with local restaurants, theaters, museums, sporting venues, etc., in order to provide residents with preferred tickets/theater seats, last-minute and/or difficult restaurant reservations, invitations to openings of new city venues or sold-out events. Also responsible for building relationships with reputable chauffeur and transportation services to coordinate unique/customized offers of travel i.e. golf, biking/hiking, wine tasting, retail shopping appointments and cooking as applicable.
  • Coordinate seasonal in-house services/events with creative and unique touches which represent the lifestyle experience of our Multi Family Luxury Communities i.e. Holiday gift wrapping, Kentucky Derby Party, Cinco de Mayo, 4 th of July, opening/closing of pool season, etc.
  • Responsible for coordinating alongside community leadership unique in-house services and events such as personal shopping services, grocery delivery, pet walking/spa services, in-house speakers/personal trainers game instructors (Mahjong) including tournaments as well as local Chef Tastings and gallery artist showings, ballroom dancing and painting lessons. Arranging medical care referrals on-site/off-site, including Health/Wellness courses/lectures with local/national specialists.
  • Consult on private event planning, arrange or provide referrals on transportation, business services or entertainment and will assist General Managers and Assistant General Managers with creating reputable Preferred Events and Entertainment Vendor List.
  • Assist with preparing budgets and provide routine progress reports to the General Managers for each event project.
  • Keep track of event finances including check requests, invoicing, and reporting and prepare and submit event vendor contracts to the VP of Operations for signature / approval.
  • Hold weekly update and planning meeting with General Managers.
  • Maintain compliance standards with vendor credentialing and in alignment with First Service Residential SOP's inclusive of the required COI's.
  • Assists management team in preparation for community meetings and weekly newsletter preparation.
  • Responsible for close out of event space including removal of décor, supplies, and general cleaning in alignment of community polices.
  • Ability to work flexible hours to include some nights and weekends for the effective coordination and to ensure successful planning and execution of resident events.
  • Follows safety procedures and maintains a safe work environment.
  • Performs other job-related duties as directed.

Travel:
  • As needed within market and to other markets in the region for meetings and to support events as needed


Skills - Qualifications:

  • At least 3 years' experience with office administrative management.
  • At least 5 years experience coordinating special events.
  • Ability to work independently, exercising discretion and sound judgment.
  • Ability to manage multiple tasks and changing priorities.
  • Excellent communication skills, including writing, proof reading skills, and speaking in public.
  • Supervisory experience
  • Strong working knowledge of customer service principles and practices. Ability to read, analyze, and interpret technical procedures, leases, regulations or documents with a similar degree of complexity. Strong interpersonal skills. Strong customer service, time management and interpersonal skills required.
  • Bachelor's degree preferred; significant work experience can substitute for the degree

Compensation: $85000 - $100000 / year
