Full Job Description
National Grid is hiring a Lead Specialist, Workforce Planning and Scheduling . This role is located in our Northport, NY location and will require scheduled travel to various NG plants on Long Island as needed.

Job Purpose

Manage the administrative support function for the Maintenance Services Department (MSD) in accordance with NationalGrid policies and the 1049 collective bargaining unit agreement. Provide oversight of the daily activities of MSD personnel in the following roles/ activities; Supervision, Procurement, Scheduling, Training, Database, Sick Leave, Safety and Miscellaneous Permit Requirements

Key Accountabilities

Outage Supply Chain Manager: For all procurement and purchase order for outside services and materials, including maintenance of records to ensure delivery, payments and accounting accuracy. Interface with Purchasing Department, outside vendors, Accounts Payable, and Plant personnel. Advise Division, Plant, Project Managers and Cost Analysts of expenditures across their respective areas via accounting spreadsheets. Managing MSD uniform program

Workforce Manpower Coordinator: For the production of weekly schedules for a roving maintenance workforce of mechanics and supervisors, across the service area. Maintain weekly reports including overtime, location and skills in support of the Callout Supervisor's responsibilities. Assist in the monthly planning and scheduling of overhauls and projects and provide input into the revision and/or maintenance of planning and scheduling practices, procedures and programs. Partners with Industrial Relations and supervision to manage and administer MSD internal job postings and employee placement activities.

Administration Support Management: Serves as lead resource for MSD Clerical support team. Manage the MSD workforce administration and business support functions, providing timekeeping and payroll processes, document management, overtime scheduling, qualification and certification tracking, absence and vacation administration, payroll issue resolution and annual physical scheduling.

Partner with HR and hiring managers to support the recruitment and onboarding of MSD personnel. Including creating job requisitions, coordinating candidate interviews, and ensuring a seamless new hire onboarding experience.

Training Coordinator: For scheduling of mechanics and supervisory personnel for skills, safety, and regulatory training. Maintain records of mechanics training qualifications, create and provide reports as required utilizing M/S Access. Interface with Training Center, Restoration and Emergency Response Team personnel to arrange training needs. Ensure training records are updated and documented in the Learning Management System.

Leave Administrator: Through the maintenance of the division personnel's absence occurrences and reasons, including providing absence and other reports. Maintain lining of database to Corporate HR systems for data updating and responsible for corporate system for date correction

Department Safety Administrator: Through the distribution of weekly tailboard/safety topics and administration of Foremen's compliance with the weekly tailboard/safety talk program. Maintenance of the "Hot Topics" log of employees concerns about safety. Manages and facilitates the monthly MSD Safety Committee meetings and overall Safety Committee program, including preparing agendas, capturing meeting notes & minutes, tracking action items to completion, and reporting MSD safety performance metrics. Responsible for collecting and distributing Power Plant safety committee minutes, and supporting documentation to ensure communication and managing the MSD Safety Awards program.

Database Management: Maintain and administer a M/S Access database of the division personnel's; training, schedule, overtime status, assignments, seniority, vacations, respirator qualification, contact information. Maintain electronic linking of database to corporate systems for data updating. Interface with Corporate Health Services to obtain annual Physical results and with Union Stewards in maintaining personnel data.

Miscellaneous: Manage the NYC/Nassau County Burn Permit Program. Interface with Accounts Payable and NYC/ Nassau County Fire Departments. Conduct projects and assignments as requested by Director, MSD Manager, and Outage Managers.

Qualifications

  • Bachelor's degree in Business Management or technical discipline required, plus a minimum of five years related work experience.
  • Employees with a associate's degree in business, Management or other technical discipline, and a minimum of seven years related work experience will be considered.
  • Demonstrate administrative, technical, supervisory and both written and verbal communication skills. Ability to select, develop and motivate people. Should be familiar with Maximo, SAP, Fiori, Hanna, BI Reporting, Microsoft Excel and Microsoft Access. Should also be familiar with P6 scheduling and estimating techniques, or have the ability to learn. Ability to work independently with a high energy level and on multiply projects at the same time is required. Ability to work with wide variety of internal clients and external partners at all levels of the organization, including all levels of management, bargaining unit employees and union representatives

Salary

$130,000 - $152,000 a year
