The Executive Assistant serves as the primary strategic support partner to the Senior General Counsel, US & Bermuda, while providing operational and administrative support to the Legal & Compliance leadership team. This role is responsible for managing executive priorities, coordinating complex calendars and global travel, supporting department operations, and facilitating cross-functional initiatives across the organization.
The successful candidate exercises exceptional judgment, anticipates executive and business needs, manages highly confidential information with discretion, and proactively identifies opportunities to improve workflows, operational effectiveness, and the overall efficiency of the Legal & Compliance function. Leveraging AI-enabled technologies and automation tools, the Executive Assistant continuously enhances productivity, streamlines administrative processes, and enables leadership to focus on strategic priorities.
This position is expected to operate with a high degree of autonomy, serving as a trusted business partner who solves problems before they arise, drives execution of key initiatives, and represents the Senior General Counsel with professionalism, sound judgment, and discretion.
Executive Support
- Provide proactive, executive-level support to the Senior General Counsel, including complex calendar management across multiple time zones, executive meeting preparation, and domestic and international travel coordination.
- Draft and manage executive correspondence, prepare briefing materials, and track action items and strategic priorities.
- Process and reconcile expenses. Maintain confidential legal, employment, litigation, and regulatory files and records.
Legal Department Operations
- Maintain department templates, forms, document repositories, and knowledge management resources.
- Coordinate outside counsel billing, invoice processing, and vendor administration.
- Support contract execution workflows, electronic signatures, and document retention processes.
- Contribute to Legal Operations initiatives and process improvement efforts, including budget tracking and vendor coordination.
Department Coordination
- Coordinate staff meetings, leadership meetings, and department events.
- Maintain department calendars, manage internal communications, and monitor action items across the team.
Technology & AI
- Use approved AI tools (e.g., Microsoft Copilot, ChatGPT) and automation technologies to improve productivity, including meeting summaries, document drafting and formatting, workflow automation, project tracking, calendar optimization, and reporting.
- Identify and recommend new tools and processes that increase department efficiency.
Required Qualifications:
- 5+ years of experience supporting senior executives, with progressively increasing responsibility.
- Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint, OneDrive), Adobe Acrobat, and enterprise collaboration platforms (e.g., Zoom, Concur, DocuSign).
- Experience using AI-enabled productivity tools for drafting, summarization, scheduling, or workflow automation.
- Proven ability to manage competing priorities across multiple executives and stakeholders with minimal supervision.
- Demonstrated judgment and discretion handling highly confidential, privileged, and sensitive information.
- Excellent written, verbal, and interpersonal communication skills.
- Experience coordinating projects across multiple business functions.
Preferred Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Experience in Legal, Financial Services, Insurance, Banking, Accounting, or another highly regulated industry.
- Experience supporting Board of Directors operations and governance processes.
- Track record of identifying workflow inefficiencies and implementing process
improvements or automation solutions.

Pay information:
The hourly rate offered for the successful candidate will be based on compensable factors such as job-relevant education, job-relevant experience, training, licensure,demonstratedcompetencies, geographic location, and other factors. The national averagehourlyrange for the Executive Assistant position is $33.15/hr- $45.58/hr with 10% incentive.
