About the role

The Associate Director of Project Management is a strategic leader responsible for driving operational excellence across a portfolio of integrated healthcare marketing projects. This role leads and mentors a team of Project Managers, oversees resource planning, budgets, timelines, and scope, and partners closely with senior account and agency leaders to ensure seamless project execution. Combining strong leadership, client-facing expertise, and deep pharmaceutical agency experience, the AD, PM helps deliver high-quality work while building high-performing teams and supporting the agency's continued growth.

What you'll do

  • Mentor and train Senior Project Managers (SPMs) and Project Managers (PMs) to uphold departmental standards, ensuring they are equipped to manage complex projects. Provide guidance to Project Coordinators (PCs) to ensure consistent performance.
  • Develop and input schedules, budgets, assumptions, and scopes of work (SOW) for projects and change orders. Audit the work of other PMs to ensure quality and compliance.
  • Identify and communicate scope changes, mitigating risks to schedules and budgets by developing action plans and adjusting timelines as necessary.
  • Actively manage all PM resources on the Team, ensuring all staff are utilized on appropriate talent to task assignments.
  • Serve as a strategic partner to senior account leads, engaging in high-level discussions with clients and agency leaders to align business goals and project execution.
  • Have a broad view of all short and long term Team resource needs ensuring proper staffing on all projects.
  • Monitor project burn rates, budgets, and overall progress, keeping account management and leadership informed with regular updates and reconciliation.
  • Requirements
    8+ years of agency experience managing projects, with strong experience in both digital and traditional tactics for high-volume pharmaceutical accounts
  • Management experience required, must be a leader who knows how to get the most out of the PM staff while at the same time growing their careers
  • Must be comfortable with client facing role as well as interaction with senior agency leaders
  • Knowledge of marketing and advertising of US and global pharmaceutical brands, with working knowledge of Medical Legal Submission requirements
  • Experience with agile methodologies a plus
  • Adept in successfully managing multiple concurrent complex projects involving cross-functional teams
  • Experience delivering quality projects that require close collaboration with client-side partners as well as third-party vendors
  • Ability to effectively lead and motivate project teams in complex integrated environments
  • Strong decision-making capability to head off potential conflicts and problems before they materialize as well as develop mitigation strategies when issues do arise
  • A collaborative spirit and willingness to work as a team member

Salary Range: $120,000 - $135,000
