Job DescriptionThe Impact you will have in this role:This position is responsible for supervising the day-to-day facility operations, furniture, fixture and equipment (FFE) repairs and maintenance in the designated office and the role incumbent is expected to be physically present in the office 5 days per week other than whilst on leave. This position is also responsible for supervision of outsourced facility operations staff.
Your Primary Responsibilities: - Supervises cleaning staff, maintenance staff & repair vendors including assignment of work orders for each task. Responsible for work order quality control and validation that best maintenance practices aligning to DTCC standards are upheld. All work orders shall be routed through DTCC's work order system for tracking purposes.
- Budget development, maintenance RFP scope of work development, purchase order creation, & actual spend tracking against budget including monthly site performance reports for designated DTCC office site.
- Supports day-to-day operations for a large corporate office environment, including a 400,000+ square-foot facility, approximately 4,000 work orders annually, more than 150 office relocations per year, and multiple facility-management vendors.
- Assist with energy and environmental management activities to maintain compliance with ISO 14001 & 15001 systems, monthly tracking, reporting, audits, training, and improvement initiatives.
- Coordinate daily facility operations and respond to employee and building-service needs.
- Receive, review, prioritize, assign, monitor, and follow up on facility requests through approved intake channels.
- Coordinate internal teams and external providers to resolve maintenance, janitorial, furniture, temperature, plumbing, electrical, lighting, access, and general building concerns.
- Support internal and external workplace events through room setup, furniture arrangements, cleaning coordination
- Maintain consistent customer communication, provide status updates, and confirm service completion.
- Escalate life-safety concerns, major outages, recurring failures, missed service levels, and operational risks to management.
- Assists and co-ordinates aesthetic and facilities process improvements. Supports space planning, analyzing space needs and managing moves
- Liaises with building landlord and government offices for regulatory purposes
- WDS representative for the site's Regional Area Manager and attend meetings when necessary
- Supervise Health & Safety including workplace risk assessments, air/water quality testing
- Oversight of amenities such as coffee, vending, parking, event support
- 24/7 Response to emergency situations relating to employees and/or facilities
- Aligns risk and control processes into day-to-day responsibilities to monitor and mitigate risk; escalates appropriately
Qualifications: - Minimum of 4 years of related experience
- Bachelor's degree preferred or equivalent experience
Talents Needed for Success: - Ability to read architectural and engineering building drawings
- Excellent communication, written skills and client focus
- Ability to use Microsoft Word, Excel, Power Point and Visio
- Experience with Nuvolo Work Order System (or comparable system)
- Strong vendor relationship management skills
