As a Facilities Manager, you will maintain standard operating procedures of the mail room, manage and maintain office supply inventories and assist management, management postal and parcel deliveries and pickups and assist with various administrative activities.
Your ImpactThe essential functions of this position include:
- Lead, supervise, train, and develop Facilities staff, providing ongoing coaching, direction, and performance feedback.
- Oversee daily facilities operations across all U.S.-based locations, ensuring facilities are safe, functional, presentable, and maintained in accordance with established company standards.
- Serve as a primary point of contact for facilities-related needs and issues, providing responsive customer service to employees and internal stakeholders.
Manage the facilities maintenance ticketing system, including evaluating and prioritizing requests, assigning resources, monitoring progress and resolution, and identifying recurring issues and opportunities for operational improvement. - Manage preventive and reactive maintenance activities across the portfolio, maintaining a working knowledge of major building systems, including HVAC, electrical, plumbing, fire/life safety, and other infrastructure, and coordinating appropriate resources to resolve issues.
- Manage facilities service providers and contracts, including janitorial, HVAC maintenance, utilities, coffee, water, pest control, and other workplace services; monitor vendor performance and support vendor selection, contract negotiations, renewals, and cost management.
- Develop and manage facilities operating budgets and expenditures, including forecasting needs, identifying cost-saving opportunities, monitoring performance against budget, and reviewing and processing facilities-related invoices and expenses.
- Manage procurement of office supplies, stationery, furniture, fixtures and equipment (FF&E), and other workplace-related goods and services for U.S. locations.
- Assist with the planning and execution of new offices, renovations, relocations, and other capital or facilities improvement projects, including operational readiness, turnover, stabilization, and resolution of post-occupancy issues.
- Serve as a facilities point of contact with landlords and property management teams regarding building operations, maintenance, lease obligations, and related matters, while supporting facilities-related safety, regulatory, and lease compliance requirements.
- Assist with maintaining the company's office lease management system (Visual Lease), including related records, files, critical dates, and documentation.
- Support emergency preparedness and business continuity planning related to company facilities and workplace operations.
- Supervise reception and mailroom operations at the corporate office, ensuring appropriate service levels and coverage.
- Maintain records and compliance requirements for Department of Transportation-certified drivers and review, track, and audit vehicle registrations and related taxes.
- Assist with audits and administration of facilities-related systems and processes, including Security Access Control, Procurement, and Accounting Check Logs.
- Develop and maintain facilities procedures, documentation, reporting, and operational standards to support consistent service delivery across locations, collaborating cross-functionally with IT, Human Resources, Security, Finance, Procurement, and other business functions on facilities and workplace initiatives.

Qualifications- Bachelor's degree in Facilities Management, Business Administration, Construction Management, Engineering, or a related field preferred; equivalent combination of education and relevant experience will be considered.
- Minimum of 5 years of relevant experience in facilities management, property management, workplace operations, or a comparable environment, preferably supporting multiple locations.
- Previous experience supervising or leading employees and/or facilities service teams.
- Experience managing facilities operations across a multi-site portfolio of leased office and warehouse locations.
- Working knowledge of commercial building systems, including HVAC, electrical, plumbing, fire/life safety, and general building infrastructure.
- Experience with facilities work-order, service request, or similar management systems; ServiceNow experience preferred.
- Strong organizational, analytical, and problem-solving skills, with the ability to manage competing priorities, exercise sound judgment, and operate effectively in a fast-paced environment.
- Strong written and verbal communication and interpersonal skills, with the ability to provide excellent customer service and work effectively with employees, leadership, vendors, contractors, landlords, and other stakeholders.
- Proficiency with Microsoft Office applications and the ability to work independently and collaboratively across teams.
- Ability to respond to urgent facilities issues as needed.
- Reliable transportation and ability to travel to company office locations as business needs require.
Position SpecificsThe initial base salary range for this position is expected to be between $80,000.00 and $120,000.00 annually. The final base salary offered will be determined by multiple factors, including, but not limited to, job-related knowledge, depth of experience, skills, certifications, and geographic location. In addition to the base salary, our compensation structure may include other components such as commissions and discretionary bonuses.
