Responsibilities

Overall Summary

This position works independently and proactively to support c-suite executives in the achievement of planning, organization, and task execution to enable focus on strategy that advances the company’s objectives.

Essential Functions

  • Provides proactive, thoughtful, high-quality administrative support to c-suite executives and their function, anticipates needs, and proactively executes support functions with a high degree of accuracy and efficiency.
  • Supports Management Committee or key Sub Committee engagement with executive team, by consulting and executing on efficient interactions, preparedness, and meeting outcomes.
  • Manages calendars, coordinates travel arrangements, and completes expense reports.
  • Prepares and/or coordinates certain internal and external communications such as written correspondence, and preparation of internal and external presentations with an eye on design and layout.
  • Work closely with and provides high quality service to wide range of internal and external constituents including but not limited to executives, leaders, customers, and external management committee members.
  • Researches, prioritizes, and follows up on incoming issues and concerns. Determines appropriate course of action, referral, or response. Troubleshoots conflicts, makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Coordinates high visibility meetings with external and internal constituents requiring high degree of planning and execution.
  • Attends Executive staff meetings, proactively keeps leader and team on track.
  • Handles sensitive and confidential material on a regular basis.
  • Takes personal ownership to coordinate projects and interact with and influence others to deliver expected results.
  • Supports the company’s commitment to risk management and protecting the integrity and confidentiality of systems and data.

Minimum Requirements

  • Associate degree or equivalent from two-year college or technical school and a minimum of 7 or more years supporting executive business leader at a corporate level or a combination of education and experience.
  • Demonstrated business acumen with knowledge and understanding of business issues, and priorities is necessary.
  • Demonstrated experience in written presentation design and layout.
  • Demonstrated ability to work with highly confidential material.
  • Must be highly organized with strong attention to detail and accuracy.
  • Requires the ability to multi-task and manage multiple projects to meet various deadlines simultaneously.
  • Excellent interpersonal, written, and verbal skills, with the ability to effectively communicate and interface with all levels of employees, as well as external customers.
  • Strong critical thinking and problem-solving skills with the ability to disseminate information, identify problems, review information, and develop and/or evaluate options then implement solutions is essential.
  • Capable of handling and appropriately prioritizing requests from multiple sources, in a timely manner.
  • Advanced proficiency in Microsoft Outlook, Word, and PowerPoint with intermediate Excel skills. Proficient with efficiency tools like Zoom and Microsoft Teams.

Physical Requirements

Working conditions consist of a normal office environment. Work is primarily sedentary and requires extensive use of a computer and involves sitting for periods of approximately four hours. Work may require occasional standing, walking, kneeling and reaching. Must be able to lift 10 pounds occasionally and/or negligible amount of force frequently. Requires visual acuity and dexterity to view, prepare, and manipulate documents and office equipment including personal computers. Requires the ability to communicate with internal and/or external customers.

The base pay scale for this position in:
San Francisco, CA in USD per year is: $115,000 - $150,000.
Additionally, candidates are eligible for a discretionary incentive plan and benefits.
