Position Information:

BreakForth Solutions is seeking an experienced Senior Program Analyst (Executive Administrator) to support the effort of the team supporting our federal customer's Office of the Chief Information Officer (OCIO) senior executives and front office. The candidate should have experience in administrative, advisory, analytical, and project management support to senior federal executives. Experience working in Federal IT organizations is preferred.

Essential Functions:

This role will be responsible for performing tasks such as but not limited to:
  • Work onsite at the agency headquarters location in downtown Washington, D.C. multiple days per week.
  • Calendar management, including scheduling meetings, appointments, and conferences, managing conflicts, and ensuring timely reminders for the executive.
  • Travel arrangements including booking flights, accommodations, and transportation for official travel, including managing itineraries and necessary documentation, as well as preparing post-travel expense reports.
  • Correspondence management, including drafting and editing letters, emails, and reports, policy documents, ensuring accurate and professional communication, and tracking official documentation through executive processes for executive signature and dissemination.
  • Provide programmatic, analytical, and project management support across a broad portfolio of initiatives to senior executives within the IT organization.
  • Review, refine, and approve draft materials prepared by subject matter experts to ensure clarity, accuracy, consistency, and executive-level quality.
  • Manage and track executive priorities, ensuring actions are completed on time and aligned with leadership intent.
  • Track tasks, deliverables, and milestones across multiple initiatives; ensure deadlines are met and issues are elevated appropriately.
  • Coordinate closely with subject matter experts, action officers, and leadership staff to drive tasks to completion.
  • Support and manage short-notice and high-priority special projects that arise from senior leadership.
  • Prepare executive-level briefing materials, talking papers, white papers, reports, and presentations.
  • Provide "white-glove" support for executive deliverables, ensuring materials meet senior leadership standards.
  • Manage communications between Assistant Directors (ADs), internal program offices, and executive leadership.
  • Serve as a central coordination point to ensure information flowing to senior leadership is accurate, timely, and complete.
  • Act as a trusted liaison between internal stakeholders, senior executives, and external partners.
  • Identify opportunities to improve internal processes, workflows, and communication effectiveness.
  • Develop recommendations, process documentation, and implementation plans for leadership consideration.

Education/Skills/Experience Requirements:
  • Minimum Education: Business Administration, Public Administration, Management, Communications, or a related field.
  • Minimum Experience: 5 years of relevant executive program analyst experience.
  • Education/Experience Equivalent: Associate's degree + 7 years relevant experience or HS + 9 years relevant experience.
  • Significant experience providing program analysis, project management, or executive support within a federal environment.
  • Demonstrated administrative experience supporting senior federal executives (SES or equivalent).
  • Exceptional written and verbal communication skills, with experience producing executive-level briefings and correspondence.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Experience with stakeholder engagement and coordination.
  • Strong Strategic thinking and problem-solving skills.
  • Proven ability to work independently, exercise sound judgment, and handle sensitive information.

Desired Knowledge/Skills
  • Experience supporting federal IT, and/or finance and resource organizations, and other mission-critical federal programs.
  • PMP or other project management certifications

Salary will be commensurate with experience.
