Position Summary

The Pursuit and Proposal Specialist position plays a key role in developing and executing strategic proposals that support our company's growth. This role coordinates the full proposal lifecycle from opportunity intake and pursuit planning through final submission, which includes capture planning, proposal coordination (i.e., managing schedules, maintaining proposal files, formatting and assembling documents, and helping keep contributors aligned with deadlines), and production support to ensure timely, compliant, and high-quality deliverables.

Key Responsibilities
  • Coordinate and prioritize proposal schedules, calendars, and internal deadlines; track action items and follow-ups.
  • Support opportunity intake by gathering bid documents (RFP/RFQ/IFB), distributing materials, and maintaining a centralized repository.
  • Set up and manage proposal workspaces (folders, naming conventions, version control, permissions as applicable).
  • Develop and maintain compliance matrices and outlines to guide proposal development and ensure all requirements are addressed once the RFP is released.
  • Collaborate with senior leadership to shape win themes, differentiators, and key messaging, and positioning across written and visual proposal materials to align with client needs and priorities.
  • Format, proofread, and quality-check proposal documents for consistency, readability, and compliance (styles, headers/footers as provided, tables, graphics placement, and page layout).
  • Compile contributor inputs into cohesive drafts; apply edits, incorporate reviewer comments, and maintain change logs as needed.
  • Prepare and deliver final submission packages (PDF creation, file consolidation, printing/binding or electronic portal uploads where applicable) with minimal oversight.
  • Customize resumes, project sheets, and boilerplate content and support maintenance of content library.
  • Support the development of presentations, interview materials, and related collateral as needed.
  • Support post-submission activities such as archiving, debrief documentation, and lessons learned.
  • Follow organizational confidentiality, data handling, and brand/quality standards throughout the proposal process.


Required Qualifications
  • Bachelor's degree in marketing, communications, business, English, journalism, or a related field.
  • 5+ years of experience in AEC marketing, proposals, or pursuit management is required.
  • Proficiency in Microsoft 365 (Word, Outlook, PowerPoint, Excel, and Teams/SharePoint) and Adobe Creative Suite (specifically InDesign).
  • Proven ability to lead complex, high-value pursuits in a fast-paced environment.
  • Strong understanding of public sector or regulated industries procurement (RFQ/RFP) process.
  • Exceptional writing, editing, and storytelling skills.
  • Experience developing win strategies, client insights, and competitive positioning.
  • Confidence working directly with senior technical staff and leadership.
  • Ability to manage multiple pursuits, deadlines, and priorities simultaneously.
  • Strong document formatting skills (styles, section breaks, tables, headers/footers, and PDF creation).
  • Excellent attention to detail, organization, and ability to manage multiple deadlines in a fast-paced environment.
  • Clear written and verbal communication skills; ability to work effectively with cross-functional contributors.
  • Ability to handle confidential and sensitive information with discretion.


Preferred Qualifications
  • Familiarity with proposal best practices (Shipley, APMP or similar).
  • Advanced use of proposal/content management systems.
  • Basic understanding of contracts, pricing inputs, or subcontractor/vendor documentation workflows.
  • Experience coordinating reviews (color team reviews) and consolidating feedback.


Working Conditions

This role requires working across multiple offices and sectors and therefore, the location can be remote or hybrid depending upon the candidate. Candidate proximity to one of Roux's major office locations is preferred. Occasional extended work hours may be required to accommodate workload and meet proposal due dates.

Base Salary Range: $85,000 - $100,000. This salary range is based on what Roux in good faith believes it might pay at the time of posting for this position. Actual compensation may vary based on job-related factors such as geographic location, relevant work experience, market conditions, education/training, certifications, skill sets, and internal equity. In addition, this position is eligible for performance bonuses based on individual job performance and the profitability of the firm.
