About the positionWe are seeking a skilled and reliable
Project Coordinator to join our team, supporting our mission critical projects. The ideal candidate will have a strong background in project billing, excellent communication skills, financial operations, and the ability to manage multiple tasks efficiently.
The Project Coordinator will need to be available to work across all time zones. Preference given to candidates that sit in the Mountain time zone.Key Responsibilities- Create accurate AIA invoices or service billings monthly per customer invoicing schedules and/or requirements (Lien Waivers, Sworn Statements, Stored Materials, etc.) and upload as required to third party systems.
- Work with customers and collections/cash applications department for collecting payments, cash application support, unapplied cash cleanup, and resolving disputes.
- Work closely with internal staff to resolve any project related issues and concerns.
- Assist in subcontractor communication, to include subcontract lien waivers, resolution of open payables issues, certified payroll, etc.
- Verify data entry and monitor the maintenance of records.
- Maintain and update information in customer and vendor files up to and including address changes, pricing, products, delivery instructions, or other customer notes as needed.
- Oversee OCIP/CCIP process, as well as timesheet/payroll submittal through MSD and assist in Prevailing Wage requirements.
- Assist in ad-hoc/non-standard SOV creation as needed.
- Work under moderate supervision to support operational, sales, and customer specific nuances for compliance and support.
Required Qualifications- High School Diploma or GED.
- 5+ years of work experience in supporting operations or service teams.
- 2+ years of experience in project forecasting OR project budget analysis.
Preferred Qualifications - Bachelor's degree preferably in business, accounting or finance.
- HVAC or Construction industry experience.
- Salesforce, Microsoft Dynamics (MSD), SAP and Ariba experience.
- Knowledge and experience in Microsoft Office Suite (Word, Excel, etc.)
- Excellent communication, both written and oral.
- Able to build strong relationships across functions.
- Ability to work and adapt in a dynamic evolving work environment.
Pay RangeThe annual salary for this position is between $64,500.00 - $129,500.00 annually. Factors which may affect pay within this range include, but are not limited to, skills, education, experience, and other unique qualifications of the successful candidate.
Other CompensationThis position may be entitled to short-term cash incentives, subject to plan requirements.
