The OpportunityThe Legal Support Assistant performs a variety of secretarial and/or administrative duties for assigned attorneys working in a fast paced Labor & Employment practice. This position interacts with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
The Day-To-DayOn any given day, you will:
- Draft, input, revise and finalize routine correspondence, memoranda and other legal documents.
- Proofread documents and check for appropriate formatting, spelling, grammar and context.
- Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.
- Complete client/matter forms, request conflicts of interest checks, open new files and maintain all client and general files.
- Manage multiple partner level attorneys and associates. Maintain and support complex partner level and attorney and team calendars and schedules. Coordinate and manage depositions, mediations, client meetings, team meeting schedules and calls.
- Maintain client contact information.
- Maintain electronic client and general files. Review incoming mail, ensure client documents and emails are properly uploaded and filed to the DMS system, Kiteworks, Seyfarth Link, etc.
- Prepare documents and packages for mail, messenger, and overnight delivery
- Enter attorney time and send time entry reminders
- Coordinate and follow through on requests and projects with other support departments (e.g. word processing, receptionists, assist with client billing, records clerks, office services, conflicts department, finance, etc.)
- Prepare and process expense reports, and vendor invoices in Chrome River.
- Schedule attorney appointments/client meetings, prepare agendas, coordinate conferences and travel arrangements.
- Complete other duties and projects as assigned.
You Have- A minimum of 4-5 years of legal assistant experience.
- Strong proofreading skills, attention to detail and solid grammar/spelling skills.
- High degree of proficiency with Microsoft programs (Word, Outlook, Excel).
- Legal citation and legal terminology expertise.
- Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte or similar technology.
- The ability to organize, prioritize and meet the demands of multiple attorney assignments.
- Flexibility to work overtime occasionally.
- Good attendance and punctuality.
Location Specific LanguageThe salary range for this role is $93,000 to $104,000 annually, which is based on a 35-hour work week. This range is only applicable for jobs to be performed in New York. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
