Position Purpose

The Lead Resource Manager supports the operational hub for the Lead Capability by aligning workforce demand, project priorities, and execution through effective resource coordination. This role manages scheduling, capacity tracking, reporting, staffing recommendations, hiring coordination, workforce planning, and onboarding support. The Lead Resource Manager helps identify staffing needs, communicate risks, resolve resourcing challenges, and ensure project teams have the right support at the right time.

Key Responsibilities

Resource Planning & Staffing Management
  • Support resource allocation across Lead projects, helping align skills, capacity, location, availability, and project needs
  • Partner with project leaders, capability leaders, and cross-functional teams to forecast staffing demand and identify potential gaps
  • Track team utilization, capacity, competencies, resource locations, and allocation trends
  • Provide staffing recommendations that support efficiency, delivery outcomes, team health, and career development opportunities
  • Assist with long-term and short-term resource planning across project-based, internal, and global needs
  • Help identify skill gaps, cross-training opportunities, and workforce readiness needs in partnership with Lead leadership

Scheduling & Operational Coordination
  • Maintain team schedules, ensuring accuracy and alignment with project timelines
  • Serve as a central point of contact for day-to-day resourcing needs across Lead and partner teams
  • Communicate staffing plans, changes, priorities, and coverage needs clearly and consistently
  • Ensure data integrity and quality assurance within the capacity planning tool (PSA), maintaining accuracy across all inputs and outputs
  • Coordinate coverage planning for PTO, internal projects, competing priorities, and shifting project demands
  • Lead or support recurring resourcing meetings, helping facilitate alignment, surface conflicts, and clarify next steps
  • Provide clear follow-up, action items, and discussion recaps from capacity and resource planning meetings

Hiring Coordination & Workforce Planning
  • Support hiring activity tracking and workforce planning processes across the Lead capability
  • Partner with Lead leadership, People Business Partners, Talent Acquisition, and internal recruitment partners on open roles, hiring priorities, and staffing needs
  • Coordinate hiring-related logistics, follow-ups, and communication to support an organized and consistent hiring process
  • Maintain open role status, hiring pipeline updates, and related follow-up tracking
  • Partner with internal recruitment and TAIT Force on freelance sourcing strategies, projections, and contingency planning
  • Help identify future hiring needs based on project demand, capacity trends, skill gaps, and business priorities

Onboarding Coordination & Program Support
  • Support a consistent onboarding experience for new Lead team members
  • Coordinate onboarding calendars, meetings, live sessions, office hours, materials, recordings, and follow-up tasks
  • Partner with Competency Leaders and functional experts to align onboarding activities with role expectations, team needs, and performance objectives
  • Maintain onboarding resources and materials in internal systems, ensuring content is accurate, structured, and easy to navigate
  • Coordinate handoffs from onboarding into ongoing training, enablement, and team integration activities
  • Track onboarding progress, feedback, and improvement opportunities to strengthen new hire readiness

Reporting & Insights
  • Track and report on utilization, capacity, headcount, hiring activity, onboarding progress, and resource trends
  • Provide insights and recommendations to support decision-making, workforce planning, and prioritization
  • Maintain reporting cadences related to team performance, resource health, and workforce planning
  • Own team org charts, headcount tracking, allocation reporting, and competency-related reporting
  • Help ensure data integrity across resource planning and capacity tracking tools

Cross-Functional Partnership
  • Serve as a liaison between Lead and other departments for resource-related matters
  • Build strong relationships across Finance, PMO, HR, Talent Acquisition, capability teams, Market leaders, and project teams
  • Support broader operational initiatives that impact resource planning, hiring, onboarding, and delivery
  • Partner with internal stakeholders to align staffing recommendations with business priorities, project needs, and talent development goals
  • Promote a connected and inclusive TAIT group culture through clear communication, fair processes, and thoughtful coordination

Escalation & Issue Resolution
  • Support the communication and resolution of staffing challenges, conflicts, constraints, or competing priorities
  • Help minimize project impact by facilitating timely follow-up on resourcing issues
  • Support transparent processes for resourcing requests, prioritization, and conflict resolution
  • Identify recurring challenges and provide recommendations to improve resourcing efficiency and team effectiveness
  • Communicate risks related to capacity, coverage, hiring gaps, or onboarding readiness

Leadership & Administrative Support
  • Support Lead leadership through coordination, communication, reporting, and administrative execution
  • Prepare materials, reports, dashboards, and updates for leadership visibility
  • Support team organization and operational effectiveness
  • Maintain documentation, process consistency, and communication channels
  • Contribute to improvements in resource management processes, tools, and operating rhythms

Minimum Qualifications
  • 4-year college degree preferred
  • 2+ years in entertainment preferred
  • 2+ years in management, resource coordination, project coordination, operations, HR, talent acquisition, onboarding, or related experience
  • Experience in a project-based, matrixed, or cross-functional environment preferred
  • Strong proficiency with scheduling, reporting, resource planning, or workforce tracking tools preferred

  • Work environment involves some exposure to hazards or physical risks which require following basic safety precautions.
  • Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required. This includes, safety glasses, reflective vest, ear plugs, safety toed shoes, and other PPE as required by the location.
