Job Summary: We are seeking a dynamic and highly experienced Lead Executive Assistant to provide exceptional support to two executives at Slalom. This role requires a strategic thinker with a proven track record of managing complex schedules, facilitating high-level communications, and coordinating key initiatives. The ideal candidate will possess outstanding organizational skills, keen attention to detail, and the ability to thrive in a fast-paced, ever-changing environment. The candidate proactively contributes to the structure of the Global Executive Administration team, making contributions to processes, acting as a people leader, mentor, and back-up to other EA's when needed. As a trusted partner to the executives, the Lead Executive Assistant will play a critical role in ensuring the smooth operation of the executive office and contributing to the overall success of the organization.
What You'll Do:- Strategic Planning Support: Assist executive(s) and/or chief of staff(s) in strategic planning activities, including preparing presentations, conducting research, and analyzing data to support decision-making processes.
- Calendar Management: Coordinate and manage the executive(s) schedule, including meetings, appointments, and travel arrangements.
- Communication: Serve as the primary point of contact for internal and external communications on behalf of the executive(s). Draft, review, and send communications as needed.
- Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and follow-up actions. Attend meetings to take notes and ensure action items are completed.
- Administrative Tasks: Handle day-to-day administrative tasks such as expense reports, travel management, team member recognition, and technology support.
- Travel Management: Oversee comprehensive travel management including planning and coordinating itineraries, booking accommodation and transportation, and ensuring seamless travel experiences.
- Process Improvement: Identify and implement process improvements to enhance efficiency and effectiveness within the executive(s) office and the Global Executive Assistant team.
- Relationship Management: Build and maintain strong relationships with key stakeholders, both within and outside the organization; including but not limited to chief of staff(s), team leadership, and other executive assistants.
- Event Planning: Plan and coordinate events, both on-site and off-site, including all logistics, catering, communications, guest lists, meeting objectives, etc.
- Back-up Support: Serve as a backup executive assistant to other executive(s) when their executive assistants are out on PTO or leave.
- Global EA Team Collaboration and Mentorship: Report into the Global Executive Assistant team, collaborating and working closely with other executive assistants. Participate and contribute to regularly occurring Global Executive Assistant team meetings and processes. Provide mentorship and guidance to the executive assistant team, fostering a collaborative and supportive work environment.
- People Leadership: Act as a people leader by providing direction, support, and development opportunities to executive assistant team members, ensuring a high-performing and engaged team.
What You'll Bring:
- Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar role, preferably supporting senior executives. Experience in people leadership and team management.
- Education: Bachelor's degree in business administration, communications, program management, or a related field is preferred.
- Skills:
- Track record of impeccable organizational and time management skills.
- Demonstrates strong initiative by proactively identifying and addressing potential roadblocks, viewing them as opportunities for innovation and growth rather than challenges.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Copilot).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
- Proven ability to navigate people leadership and work through difficult conversations effectively.

Slalom is committed to fair and equitable compensation practices. For this role, we are hiring at the following levels and targeted base pay salary ranges: The targeted base salary pay range for this position is $80,000 to $105,000. In addition, individuals may be eligible for an annual discretionary bonus. Actual compensation will depend upon an individual's skills, experience, qualifications, location, and other relevant factors. The salary pay range is subject to change and may be modified at any time.
