This is a high-visibility, high-trust role at the center of Brightline's executive operations. You'll support multiple C-suite leaders - managing competing priorities, complex calendars, and confidential work across time zones with precision and discretion.
This isn't a role for someone who needs a lot of hand-holding or prefers a predictable 9-to-5. It's for someone who moves fast, thinks ahead, and takes deep ownership over keeping senior leaders focused on what matters most.
ResponsibilitiesExecutive Support- Manage complex, dynamic calendars for multiple C-suite executives - proactively resolving conflicts, prioritizing requests, and anticipating scheduling needs before they arise
- Coordinate domestic and international travel logistics including flights, hotels, ground transportation, and itineraries
- Prepare executives for meetings by compiling briefing documents, agendas, background materials, and talking points
- Handle correspondence, draft communications, and respond to inquiries on behalf of executives with appropriate judgment and discretion
- Track action items and follow-ups from executive meetings to ensure nothing falls through the cracks
Operational & Administrative Excellence- Process expense reports and manage reimbursements accurately and on schedule
- Coordinate logistics for leadership team meetings, offsites, board prep, and company-wide events - including venue sourcing, catering, tech setup, and materials
- Maintain organized filing systems and document management for executive-level materials
- Support onboarding for new senior leaders and manage relationships with key external stakeholders and vendors
Cross-Functional Coordination- Serve as a key point of contact across Brightline's teams on behalf of supported executives
- Partner with other executive assistants and operations staff to ensure seamless coordination across the leadership team
- Handle confidential and sensitive information with the highest level of integrity and discretion
- Identify opportunities to streamline processes and improve the efficiency of executive operations
Requirements:- 5+ years of experience as an executive assistant, ideally supporting C-suite leaders in a fast-paced, growth-stage environment
- Exceptional organizational skills and a proven ability to manage competing priorities across multiple executives simultaneously
- Strong written and verbal communication skills - comfortable drafting polished communications on behalf of senior leaders
- High emotional intelligence and the ability to work effectively with a wide range of personalities and communication styles
- Absolute discretion and sound judgment when handling sensitive, confidential information
- Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and virtual meeting tools (Zoom, Slack)
- Proactive, solutions-oriented mindset - you spot problems before they happen and come prepared with options
- Preferred: Experience in healthcare, health tech, or a mission-driven startup environment

Our strategy is based on robust market research, including external advisory specializing in national compensation, and thoughtful input from every level of our organization. It is a combination of a cash salary, equity, benefits, wellbeing, and opportunity. In compliance with the Equal Pay for Equal Work Act, the annual base salary range for applicants is $85,000 - $125,000, depending on where the candidate is located and experience.
