Full Job Description
OVERVIEW:

The Executive Assistant will play a key role in supporting activities across Year Up United by providing exceptional executive support and managing the overall administration for two to three executives. You will represent Year Up United in interactions with external and internal constituents every day and must operate on many levels with independence, efficiency, enthusiasm and professionalism.

As an ideal candidate for this role, you will be a seasoned, independent senior Executive Assistant who can hit the ground running because of your ability to adapt, willingness to learn new systems and your openness to feedback. Strong candidates will also have likely supported multiple executives at once in the past. Because you will be communicating with high level executives and internal stakeholders on a regular basis, you will possess a mature, professional communication style with an ever-present focus on providing the highest-level customer service and support. Success in this position requires that you thrive in fast-paced environments with changing priorities and deadlines and are able to effectively juggle, manage and drive a variety of tasks/activities at once. Executives will depend on you to interface regularly with C-level contacts for a variety of purposes (e.g. program introductions, fundraising asks).

The Executive Assistant will also have the opportunity to interact with students in a variety of potential ways as appropriate (i.e. a mentor, facilitator, and advocate, participating in building a positive educational environment).

KEY RESPONSIBILITIES:

Executive Support
  • Provide administrative support, including directing incoming calls and visitors, scheduling meetings and conference calls, proactively managing emails and calendars, arranging travel, managing and prioritizing phone messages and correspondence, and processing expenses
  • Provide leverage for executives by following up where appropriate on calls, emails, etc
  • Play a support role in internal and external communications; maintain open communication flows among teams, Year Up United departments, consultants and collaborators outside the organization; actively develop relationships with staff members across the organization and key support staff at partner organizations
  • Manage logistics for internal and external meetings, including researching and preparing information for use in meetings and organizing schedules of multiple participants, including external participants and ensuring meetings have space and technology necessary
  • Follow up on contacts made by executives and support the cultivation of ongoing relationships
  • Support executives in preparing for presentations, speeches, press events, and general meetings
  • Work closely and coordinate with all members of the Executive Operations team and members of senior leadership as needed
  • Assume a proactive role in increasing productivity, efficiency and organization, ensuring that time is focused on accomplishing the organization's and the senior team's highest priorities
  • Demonstrate independent judgement and move activities/efforts forward on your own when possible
  • Other duties as assigned


Site Team/Learning Community Member
  • Serve as a coach/mentor for a small number of current students
  • Join and sometimes facilitate weekly group sessions with students
  • Participate in staff meetings and trainings


QUALIFICATIONS:
  • Minimum 6-8 years' senior Executive Assistant experience preferred
  • Strong experience working as an Executive Assistant to senior corporate leaders, with demonstrated expertise in anticipating and fulfilling the needs and priorities of a senior executive
  • Outstanding time management skills, with proven ability to multi-task, accomplishing numerous tasks and changing priorities in an effective and timely manner; demonstrated ability to execute on short-term, deadline-driven tasks daily, and long-term projects requiring collaboration with external constituencies
  • Comfortable with new technology and troubleshooting equipment, as needed (e.g. audio/visual and conference call equipment, etc.)
  • Sound judgment, maturity, and the ability to handle sensitive and confidential information with discretion
  • A strong work ethic and positive attitude, with an independent disposition and a willingness to do what it takes to get the job done
  • Professional and positive customer service-driven approach
  • Superb interpersonal, written, and verbal communication skills
  • High level of proficiency in Microsoft Word, Salesforce, PowerPoint and Outlook required; experience with Excel and Concur preferred

SALARY RANGE: $80,000 - $105,000

WORKING AT YEAR UP UNITED:

Starting January 5, 2026, employees are expected to work on-site at least two days per week (Monday through Thursday dependent on job requirements). COMPENSATION & BENEFITS:
  • Year Up United has established salary ranges for each of our sites, which allows us to pay employees competitively, equitably and consistently in different geographic markets. For roles in which the location is listed as flexible, the range displayed reflects the minimum and maximum target for new hire salaries for the position across all US locations.
