Full Job Description
We are looking for an experienced, highly driven, and strategic Executive Assistant to support a few members of executive leadership team.
What You'll Do
Strategic Executive Support
• Calendar & Schedule Management: Masterfully manage a complex, shifting calendar. Prioritize requests from executive team, customers, and partners, while proactively identifying conflicts and opportunities.
• Communications & Business Writing: Draft and refine internal and external communications, review cross-functional team messaging, and prepare briefing documents to ensure the executive team is prepared for all engagements.
• Travel Logistics: Coordinate intricate domestic and international travel itineraries for the executive team, including logistics with local teams, immigration/visa requirements, and upgrades.
• Project Management: Drive key initiatives for the leadership team to completion, including recruiting coordination, expense management, and data analysis (e.g., tracking attainment for All Hands).
Team Leadership & Management
• EA Team Lead: Manage and mentor a team of 6 global Sales EAs. Lead bi-weekly cadence meetings, advocate for necessary tools/resources, upskill the team, and oversee time-off coverage.
• Collaboration: Build strong relationships cross-functionally with key stakeholders and other Senior EAs. Act as a culture carrier, ensuring the remote EA team feels connected to the HQ culture.
Events & Operations
• Event Planning: Collaborate with enablement and leadership to plan and execute key events, including Sales Kick-Off (SKO), annual offsites, and QBRs.
• On-Site Support: Provide concierge-level support during key travel and conferences-managing room logistics, ad-hoc requests, and acting as a gatekeeper during high-traffic events.
Experience You'll Need
• Experience: 7+ years of high-level experience supporting senior executives (C-Suite preferred), with prior experience managing or mentoring other administrative staff.
• Technical Proficiency: Advanced proficiency with Gmail and Google Calendar is non-negotiable. Strong skills in Word, Excel, and PowerPoint are required.
• AI Fluency: Familiarity with or a strong willingness to adopt AI tools to drive efficiency in administrative tasks.
• Communication: Polished, positive, and personable with elite business writing skills. You must be able to capture the executive's "voice" in written communications.
• Agility & Resilience: A "can-do" attitude with the ability to pivot quickly. You thrive in a collaborative, fast-paced, and sometimes "wild" environment.
• Discretion: Highest degree of integrity and diplomacy when dealing with confidential data, recruiting matters, and sensitive information.
• Availability: Willingness to travel approximately 20-25% of the time. This role requires high availability and flexibility to match the executive's schedule, balanced by a culture of mutual trust.
