The Role:

This position is an integral part of Harris Williams' Workplace Services team, responsible for our New York office. The Workplace Services Site Coordinator will plan, coordinate, and conduct a broad range of services that allow our New York office to operate more efficiently and make a difference in employees' productivity and workplace satisfaction. This includes but is not limited to facilities and equipment maintenance, supplies ordering/stocking, emergency management practices, managing vendor contracts, and space management. This person will evaluate and recommend changes or additions to service offerings in coordination with the Regional Office Site Manager, ensuring a one-firm approach. The Workplace Services team's mission is to achieve a professionally productive and personally fulfilling experience for all employees at the firm.

Why This Role is Unique

You'll be a visible presence for Harris Williams in New York, greeting guests at the reception desk of our flagship 600 Lexington Avenue office and staying connected to our teams at 405 Lexington Avenue as well. No two days look the same: you'll balance hospitality, operations, and vendor coordination while partnering closely with the Regional Office Site Manager on how our New York offices run day to day.

Core Responsibilities:
  • Operations and Maintenance - serve as main point of contact for all building and facilities activities
  • Occupant services - Ensuring the office is stocked with various supplies, as well as continuously evaluating services to improve the employee experience in the workplace, including light upkeep around the office, shipping/receiving of packages, and onboarding/offboarding employees.
  • Hospitality services - Meeting and greeting guests, serving refreshments, coordinating set-up and clean-up of catered events, maintaining café and tea point supplies, and maintaining a professional and organized appearance of the office.
  • Utility management - Overseeing the maintenance and repair of facilities and equipment.
  • Space coordination - Ensuring our employees are getting the most out of our space, coordinating seat assignments, etc.
  • Resource management - Managing office and hospitality supply inventory and replacement procurement, and processing workplace office supply and vendor invoices.
  • Risk Management - Serving as site lead for all environmental health and safety, security, and emergency management efforts.


Job Specific Competencies, Education and Experience:

Required:
  • College degree, or a comparable combination of education and experience (including military service), may be considered.
  • Ability to work in the U.S. without sponsorship.
  • Strong communication skills and ability to work well in a team setting.

Preferred:
  • 3-5 years of experience in a workplace services function, financial or professional services experience a plus.

Competencies:
  • Self-driven but collaborative approach that builds interpersonal networks and is able to influence.
  • Curious mindset that proactively identifies areas of innovation and opportunity to contribute to the firm.

  • Candidates must be authorized to work in the U.S. without sponsorship.
  • This role is based in our New York office and will be primarily stationed at the reception desk of our 600 Lexington Avenue location. The successful candidate can expect an average workweek of approximately three days at 600 Lexington Avenue and two days at our 405 Lexington Avenue office, with the exact schedule varying based on projects and meetings.

Pay Transparency

Base Salary: $90,000.00 - $100,000.00

Salaries may vary based on geographic location, market data and on individual skills, experience, and education.
