Job Description

The Vice Chair of Education Administration is responsible and accountable for the following: 1) Administrative partner to the dean of Education for the respective site, 2) oversight and execution of the College of Medicine and Science Operating Plan along with assigned work unit plans working in conjunction with the shield Chair, 3) participation in Enterprise wide education administrative activities including the sharing of best practices, initiation of quality management systems and staffing to workload metrics.

The Vice Chair is expected to provide strong leadership, guidance and direction resulting in operational and service excellence and effective, compliant management of all Education administration activities at Mayo Clinic. Participates in system-wide strategic planning for Education and performs system-wide administrative functions in support of the institutional mission and Education vision.

The Vice Chair is expected to collaborate with physicians, scientists, and administration leaders throughout the Mayo Clinic enterprise to help transform Mayo Clinic's mission and Mayo Clinic's Education vision into daily operations. Responsible for administrative oversight of assigned support units within the College of Medicine. Accountable for oversight of strategic planning, financial management and performance management of the assigned units and site. In collaboration with other senior administrative roles, responsible for the administrative oversight of the Education Strategic Project Portfolio and/or Education Administration Integration initiatives. Provides support via role as Administrator/Committee Secretary for assigned areas of responsibility.

Responsible for the administrative oversight of College of Medicine regulation and accreditation requirements as related to Higher Learning Commission accreditation. Assumes administrative responsibility for special projects as assigned by the shield Administrative Chair, utilizing expertise in organizational relationships, fiscal management and institutional resource allocation, and strategic planning. Includes analysis of complex or organizational relationships, development of recommendations for change and communication to appropriate groups.

Collaborates with the enterprise education leadership team on the overall strategic planning and management of the financial and capital resources of the College of Medicine and for the assigned units. Provides an institutional perspective to departmental and program decisions to integrate with Clinical Practice, Research and Human Resources. Establish relationships with external agencies and organizations to enhance knowledge of the education environment and visibility of Mayo's Education programs and to establish and nurture collaborations and partnerships that support Mayo goals. Actively involved with external academic medicine professional organizations.

Key Responsibilities

Strategic Leadership
  • Partner with the Chair and the other Vice Chair roles to develop and execute the shield's strategic plan, aligning operational and financial priorities with college goals.
  • Provide data-driven insights and recommendations to support long-term planning, growth initiatives, and performance improvement.
  • Serve as a member of the shield's executive leadership team and key committees.

Financial Management
  • Oversee assigned college budgeting, forecasting, and financial performance, including operating and capital budgets.
  • Monitor revenue, expenses, and productivity metrics; identify risks and opportunities for financial optimization.
  • Collaborate with finance partners to ensure accurate reporting, compliance, and stewardship of resources.

Operations & Administration
  • For specific site and enterprise areas assigned, lead day-to-day administrative operations, ensuring efficient, scalable, and compliant processes.
  • Where appropriate, oversee space planning, facilities coordination, and resource allocation.
  • Ensure effective administrative support for clinical, research, and educational missions.

Human Resources & Talent Management
  • For assigned areas of responsibilities (to include both site and enterprise areas of operation) provide leadership and oversight for HR functions, including staffing models, workforce planning, performance management, and employee engagement.
  • Partner with HR to support recruitment, retention, succession planning, and leadership development.
  • Foster a culture of accountability, inclusion, and continuous improvement.

Compliance, Risk, & Governance
  • Ensure compliance with institutional policies, regulatory requirements, and accreditation standards.
  • Identify operational risks and implement mitigation strategies.
  • Support governance processes, policies, and internal controls.

Collaboration & Representation
  • Serve as the primary administrative liaison between assigned site and enterprise roles and college leadership, shared student and business services, academic services and external partners.
  • Represent the college on enterprise committees, task forces, and initiatives as assigned.
  • Promote strong collaboration across divisions and disciplines.


Qualifications

Master's degree in business or related field required. At least 10 years of relevant experience required including a minimum of five years leadership experience, preferably at Mayo Clinic. Must have demonstrated competencies in leadership, strategic planning, finances, management, team development and relationship building. Requires excellent communication skills, including ability to prepare and deliver effective written reports and presentation materials on complex topics. Requires creativity, commitment and resilience. Must have demonstrated success in partnering with physician, scientist and allied health staff. Must be self-motivated, accept ambiguity, and meet deadlines. Must have demonstrated outstanding performance in physician/scientist interactions, cross-shield and cross-site interactions, broad-based leadership and management roles, and involvement with external academic healthcare organizations or professional societies. Must effectively use institutionally selected basic software applications and actively embrace learning new applications that support departmental activities. Must be able to fully exercise Mayo core principles and job specific competencies as detailed below.
