Staff Accountant II

Fiscal Team

Position Summary

This role is responsible for the accuracy, integrity, and compliance of contract billing, reconciliations, financial reporting, and grant documentation across multiple funding streams, while also serving as the primary point of coordination between the Fiscal Department and different programs (especially one division). The role ensures that fiscal processes, timelines, and compliance requirements are clearly communicated and consistently followed on both sides.

This role requires strong technical accounting skills combined with working knowledge of California early childhood and human services funding structures. The ideal candidate is detail oriented, deadline driven, comfortable navigating multiple funding sources, reporting cycles, and compliance frameworks at once, and confident acting as a bridge between finance and program teams.

Essential Duties and Responsibilities
  • Manage agency contract billing and complete monthly reconciliations across funding sources, ensuring accuracy and timeliness.
  • Research, track, and resolve accounting discrepancies, working across departments and with funders as needed to close out open items.
  • Assist with the preparation and posting of monthly journal entries in accordance with GAAP and agency policy.
  • Prepare financial analyses to support division leadership in budget monitoring, forecasting, and decision making.
  • Produce recurring and ad-hoc financial reports.
  • Assist with monitoring program and grant budgets, flagging variances and supporting corrective action.
  • Maintain foundation and grant funder reports, reconciling them against the agency's accounting system to ensure consistency between what is reported and what is recorded.
  • Manage grant related documentation, including maintaining organized records of award letters, budgets, budget modifications, and correspondence, and supporting the timely submission of required financial and programmatic reports to funders.
  • Analyze general ledger accounts relevant to different programs, identifying and correcting errors or misclassifications.
  • Analyze vendor accounts, ensuring accurate coding, timely resolution of discrepancies, and appropriate documentation.
  • Serve as backup to the accounts payable function, ensuring continuity of payment processing during staff absences or peak periods.
  • Assist with the preparation of audit schedules and supporting documentation for annual financial, program, and single audits.
  • Support monitoring and desk review processes and other government contracts, including preparing requested documentation and responding to funder inquiries.
  • Maintain accurate, audit ready files for all assigned contracts and grants, in compliance with funder and agency recordkeeping requirements.
  • Take on other additional duties as needed.

Qualifications

Required
• Bachelor's degree in accounting, Finance, Business Administration, or a related field, or equivalent combination of education and experience.
• A minimum of three to five years of progressive accounting experience, including contract billing, reconciliations, and financial reporting.
• Demonstrated experience working with state, county, or federal contracts, or comparable government and foundation grant funded environments.
• Working knowledge of nonprofit fund accounting principles and GAAP.
• Strong Excel skills, including experience building and maintaining reconciliations, budget tracking tools, and financial reports.
• Experience with general ledger systems and accounting software is commonly used in the nonprofit sector.
• Excellent organizational skills and the ability to manage multiple funding sources, deadlines, and reporting requirements simultaneously.
• Strong written and verbal communication skills.
• High level of integrity, discretion, and attention to detail when handling sensitive financial and grant information.

Preferred
• Experience with early childhood education funding structures
• Familiarity with Title 5 and Title 22 regulatory and reporting requirements.
• Experience supporting or participating in financial, program, or single audits.
• Experience working in non-profit or public agency environment.
• Bilingual English/Spanish skills, a plus.

Salary Range: $80,00 - $90,000 Annually (DOE)
