What this job involves:

As the Senior Program Delivery Coordinator primarily dedicated to executive and specialty events, you will serve as a strategic partner to Amazon's high-profile executives, orchestrating high-stakes corporate events, executive engagements, and leadership experiences across Amazon's global corporate offices. This role demands exceptional discretion, strategic thinking, and flawless execution in a fast-paced, high-visibility environment. Working in close partnership with Executive Assistants, Corporate & Protective Security, and Facilities leadership, you will ensure that every executive high-profile and high-visibility event reflects Amazon's Leadership Principles and delivers world-class experiences for senior leaders, Board members, and distinguished guests. You will partner with S-Team executives and their Chiefs of Staff to conceptualize, plan, and execute high-impact leadership events including Board meetings, All-Hands gatherings, investor relations events, and executive offsites while serving as the primary liaison for confidential and time-sensitive executive events requiring discretion and strategic coordination. What your day-to-day will look like:
  • Partner with S-Team executives and their Chiefs of Staff to conceptualize, plan, and execute high-impact leadership events including Board meetings, All-Hands gatherings, investor relations events, and executive offsites
  • Serve as primary liaison for confidential and time-sensitive executive events requiring discretion and strategic coordination while anticipating executive needs and proactively developing solutions for complex logistical challenges
  • Lead cross-functional planning sessions with senior stakeholders across Security, Legal, Communications, IT, and Facilities to ensure seamless coordination and alignment
  • Design and orchestrate seamless end-to-end experiences for C-Suite events, from initial concept through post-event analysis, ensuring every detail reflects excellence and professionalism
  • Coordinate white-glove services for Board of Directors meetings, including confidential materials handling, secure venue preparation, and VIP hospitality with meticulous attention to detail
  • Oversee end-to-end planning and execution of complex, high-visibility executive events including S-Team offsites and strategic planning sessions, annual shareholder meetings and investor relations events, and All-Hands meetings and town halls with 500+ attendees
  • Cultivate and manage relationships with premium vendors, including executive transportation, high-end catering, audiovisual production, and security services while negotiating contracts and managing budgets for executive events
  • Draft and distribute executive-level communications regarding high-profile events, ensuring appropriate tone and confidentiality while managing sensitive information flow between executives, their teams, and supporting vendors
  • Develop and maintain executive event dashboards and KPIs to measure success and identify improvement opportunities while conducting post-event debriefs with S-Team stakeholders to synthesize feedback into actionable insights
  • Maintain strict confidentiality regarding executive schedules, strategic initiatives, and sensitive business information while ensuring all executive events comply with corporate governance requirements, legal guidelines, and security protocols.


Required Qualifications:
  • 3+ years of progressive experience in executive-level event management, corporate hospitality, or executive operations with demonstrated ability to deliver flawless, high-stakes events
  • 2+ years supporting C-Suite or equivalent senior leadership in a Fortune 500 or high-growth technology environment with deep understanding of executive protocols and expectations
  • Proven track record managing high-stakes, confidential events with significant budgets while maintaining cost-effectiveness without compromising quality
  • Demonstrated experience coordinating high-profile, high-visibility executive events such as Board meetings, investor relations events, or large-scale All-Hands gatherings
  • Experience managing cross-functional teams and influencing senior stakeholders without direct authority in matrixed organizational environments
  • Exceptional judgment and ability to navigate ambiguous, high-pressure situations with strategic thinking and ability to see around corners and anticipate executive needs
  • Outstanding written and verbal communication skills with ability to interact confidently with C-Suite executives, Board members, and distinguished guests using appropriate tone and confidentiality
  • Meticulous attention to detail with zero tolerance for errors in executive-facing deliverables and demonstrated ability to deliver perfection under pressure
  • Advanced project management capabilities with ability to manage multiple complex events simultaneously while balancing competing priorities and making sound decisions with incomplete information
  • Proven ability to work autonomously with minimal supervision while knowing when to escalate issues appropriately and demonstrating strong problem-solving skills and crisis management experience
  • Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with ability to create polished executive-level presentations and communications
  • Experience with project management tools (Asana or similar) with ability to track complex workstreams, dependencies, and deliverables across multiple concurrent events
  • Bachelor's degree required demonstrating strong academic foundation and professional commitment.


Preferred Qualifications:
  • MBA or advanced degree preferred demonstrating strategic thinking capabilities and business acumen
  • Certified Meeting Professional (CMP) or similar event management certification demonstrating commitment to professional excellence and industry best practices
  • Experience with budget management and financial reporting tools with ability to analyze event ROI and cost efficiency metrics
  • Knowledge of Microsoft Visio, CAD, or space planning software with ability to visualize event layouts and coordinate complex venue requirements
  • Strong business acumen and understanding of corporate governance and executive protocols including Board meeting requirements and fiduciary responsibilities
  • Experience coordinating with executive protection teams and corporate security on confidential event requirements and threat assessments
  • Background in crisis communication and contingency planning for executive events with ability to manage real-time issues calmly and effectively
  • Experience managing non-disclosure agreements and confidentiality protocols for external vendors and partners in sensitive business environments
  • Demonstrated success leading process improvement initiatives to enhance efficiency and elevate the executive event experience
  • Experience creating and maintaining executive event playbooks, standard operating procedures, and best practices documentation.


Additional Requirements:
  • Ability to work flexible hours, primarily including early mornings, evenings, and occasional weekends to support executive event schedules
  • Ability to obtain and maintain necessary security clearances for access to confidential business information and secure facilities
  • Physical ability to conduct site walks, oversee event setup, and remain on-site for extended periods during event execution.
