The Role
The RFP Delivery Manager owns the end-to-end execution of AArete's RFP portfolio while serving as a strategic thought and writing partner to the Vice President. This role is accountable for on-time delivery, content quality, and day-to-day decision-making across all pursuits.
The role combines delivery leadership, healthcare and business acumen, exceptional writing and editing capabilities, and effective use of AI to drive a more efficient and effective proposal process. This is a hands-on role requiring both strategic thinking and direct execution.
Work You'll Do
RFP Delivery Ownership
- Lead the full lifecycle of RFPs from intake through final submission
- Own project plans and timelines, compliance tracking, review cycles, and final quality control
- Act as the primary point of accountability on delivery-related issues, independently resolving issues and escalating when appropriate
Strategic Interpretation and Support
- Apply strong healthcare and business acumen to interpret guidance from Managing Directors and senior SMEs
- Translate high-level or ambiguous input into clear and compelling proposal positioning, structure, and messaging
- Proactively identify strategic gaps, inconsistencies, or risks, and bring forward recommendations and solutions
Writing and Content Ownership
- Take direct writing ownership of proposal sections as needed, including executive summaries, solution approaches, and strategy-heavy responses
- Edit and finalize content to ensure clarity, concision, persuasiveness, and executive-level quality
- Ensure consistency with AArete's voice, POV, win themes, and differentiators across the full proposal
AI-Enabled Proposal Execution
- Integrate AI thoughtfully into the proposal process to improve speed, quality, and consistency
- Apply AI to accelerate drafting, synthesize SME input and prior content, and perform compliance and redundancy checks
- Establish clear guardrails to ensure AI generated content is validated, refined, and aligned with AArete's natural, direct, and non-fluff voice
- Coach proposal team members on the practical, responsible use of AI in proposal development
Quality and Risk Management
- Establish and maintain standards for clarity, consistency, accuracy, and non-redundancy across all submissions
- Proactively identify and manage risks related to scope, resourcing, compliance, timelines, and narrative quality
- Resolve issues independently where possible, escalating strategically with clear recommendations and options
Key Characteristics of the Role
- Combines hands-on execution ownership with strategic judgement
- Requires substantive writing and editing responsibility
- Serves as a trusted operational and strategic partner to the VP
- Leverages AI to increase proposal speed, efficiency, consistency, and quality

Requirements
- 5+ years of experience in proposal management, RFP development, consulting, or a related field
- Exceptional judgement, critical thinking skills, and a strong ownership mindset, with the ability to operate independently and make sound decisions with limited oversight
- Strong healthcare domain knowledge strongly preferred
- Proven experience leading complex and/or high-stakes RFPs in partnership with senior stakeholders
- Exceptional writing and editing skills, including the ability to develop clear, concise, persuasive, executive-level content
- Demonstrated ability to synthesize ambiguous or complex input into clear, compelling, and differentiating responses
- Practical experience leveraging AI tools in proposal development or similar content-intensive workflows
- Strong project management skills with demonstrated ability to manage multiple concurrent pursuits, competing priorities, and tight deadlines
- Applicants must be based in Chicago, IL, and flexible to work from our Chicago office as needed

The estimated base salary range for this position is $105-130K. In addition to this base salary, individuals may be eligible for an annual discretionary bonus. This range is a part of a competitive, total compensation package together with our majority employer-paid benefits and incentive pay for eligible roles. Please note that this range is a guideline, and individual total compensation may vary due to numerous factors, including but not limited to experience level, certifications, and other relevant business considerations.
