Full Job Description
We are seeking a Site Operations Program Manager that partners with site leadership and executive assistants to own the Austin site operations - responsible for both overall development and tactical execution of workplace experience initiatives that keep our engineering teams productive and engaged. You will build scalable site operations from the ground up, defining and implementing workplace experience, site efficiency, vendor coordination, and employee satisfaction while simultaneously executing day-to-day operational tasks.

This is a hands-on role. You'll drive the workplace operations buildout - vendor relationships, event programming, process design, budget optimization, and employee experience - while simultaneously managing the operational excellence of a live, high-velocity engineering site. You'll operate in ambiguous spaces where the problems aren't pre-defined, defining goals, establishing processes, building mechanisms, and partnering with stakeholders across Real Estate, Facilities, HR, Finance, IT, and Security to deliver results that directly impact our engineering teams' ability to ship custom silicon faster.

Key job responsibilities

Own the Austin site operations program end-to-end - workplace experience, facilities coordination, vendor management, event programming, and employee engagement. Partner with site leadership to develop the vision, mission and tenets for the site. Develop roadmap for site operations. Partner with Real Estate, Facilities, HR, Finance, IT, and Security to align site operations with business objectives. Communicate program status, wins, risks, and blockers through regular updates.

Vendor Management

Manage relationships with catering vendors, facilities service providers, and event suppliers. Define SLAs, and pricing to optimize cost and service quality. Establish vendor performance metrics and conduct regular business reviews. Own site operations budget, analyze spending patterns, forecast quarterly and annual needs based on headcount growth.

Event Operations & Execution

Execute site events end-to-end: all-hands meetings, team celebrations, leadership offsites, press visits, intern programming, and social events. Collaborate with Public Relations on press visit plans. Oversee rehearsals, set-up, and breakdown of event spaces. Coordinate with Security for site security and e-waste coordination. Document event history through photos, videos, and archived project plans. Conduct post-event analysis including employee surveys and event-over-event insights. Drive continuous improvement utilizing AI and other tools to streamline reporting.

Process Design & Scalability

Design and document repeatable processes for site events, visitor hosting, meeting coordination, and workplace services. Build self-service mechanisms and tools to reduce manual coordination overhead. Create runbooks, templates, and training materials for future team members or distributed ownership.

Day-to-Day Site & Meeting Operations

Coordinate food and beverage ordering, inventory management, and restocking. Manage seating assignments, desk moves, and workspace allocation. Support leadership meetings: room booking, catering, AV setup, materials preparation. Manage conference room calendars and resolve scheduling conflicts for team events. Coordinate with Amazon shipping for handling incoming shipments. Maintain site communication channels (Slack, email lists, wiki pages). Communicate with Amazon's global office team regarding all site management-related issues.

A day in the life

No two days look the same. You might start the morning reviewing vendor delivery confirmations and checking inventory levels for the week's food and beverage orders. Mid-morning, you're coordinating with catering and AV teams for an upcoming leadership offsite, confirming room configurations and finalizing the run-of-show. After lunch, you're walking the site with Amazon's global office team, reviewing a space reconfiguration project and discussing upcoming capacity needs as the engineering team grows. Later, you lead a cross-functional planning session with site leadership on event programming - translating employee feedback data into a concrete calendar of engagement activities. You close the day reviewing your vendor performance dashboard, drafting a cost optimization proposal for the monthly business review, and sending a care package to a team member celebrating a milestone.

BASIC QUALIFICATIONS

- 3+ years of program or project management experience

- Experience working cross functionally with tech and non-tech teams

- Experience using data and metrics to determine and drive improvements

- Experience managing workplace experience, facilities operations, or site services

- Experience with cross-functional tech and non-tech teams; including collaboration with internal leadership and external vendors and partners

- Proficient in Microsoft SharePoint and M365 tools

- Flexibility to travel

PREFERRED QUALIFICATIONS

- Project management certification (PMP, Scrum, or Agile)

- Experience managing multiple initiatives across locations

- Background in event planning or facilities operations

- Familiarity with budget management and cost optimization

- Bachelor's degree
