Supports the CSBB Data & Governance organization by leading the coordination, governance, and optimization of workload intake, portfolio management processes, and operational enablement activities across the CSBB Data & Governance organization.
This role serves as the operational backbone of the Data Portfolio Strategy & Business Architecture (DPSBA) team, ensuring transparency, consistency, and efficiency in how work is requested, prioritized, tracked, and communicated. The incumbent partners cross-functionally with Data & Governance leadership, Business Data Product teams, and federated analytics teams to enable disciplined portfolio management, accurate progress tracking, and effective execution against strategic priorities.

Workload Intake, Backlog Management & Portfolio Governance
  • Lead standardized intake processes to ensure incoming demand is properly documented, routed, and aligned to business priorities
  • Manage and maintain backlog of initiatives across CSBB Data & Governance, ensuring visibility into prioritization, dependencies, and delivery status
  • Facilitate recurring request review and intake governance forums to drive alignment on priorities, trade-offs, and workload distribution
  • Act as portfolio steward within workload management platforms (e.g., Adobe Workfront), ensuring accurate structure, classification, and tracking of initiatives


Workload Management & Resource Visibility
  • Maintain dashboards and reporting to track capacity utilization, delivery progress, and workload distribution across the organization
  • Monitor on-track/off-track delivery indicators and escalate risks or constraints to leadership as appropriate
  • Support leadership decision-making through data-driven insights on workload trends, demand patterns, and resource allocation


Quarterly Planning & Organizational Alignment
  • Lead development of planning materials and coordinate quarterly planning processes, including demand, capacity, and priority alignment
  • Facilitate cross-functional alignment sessions and document decisions, commitments, and follow-up actions
  • Ensure alignment of planned work to strategic objectives, portfolio priorities, and available capacity


Performance Tracking, Scorecards & Executive Reporting
  • Develop and maintain performance tracking mechanisms (e.g., scorecards, portfolio review materials) to provide leadership visibility into progress, milestones, and outcomes
  • Ensure accuracy, consistency, and completeness of reported metrics by validating inputs with stakeholders and system sources
  • Support preparation of executive-ready materials for senior leadership forums and portfolio reviews


Platform Administration & Operational Governance
  • Serve as administrator for key collaboration and content platforms (e.g., SharePoint site collections, MS Teams channels), ensuring compliance, usability, and content integrity
  • Conduct periodic access reviews, site audits, and content lifecycle management (e.g., archiving outdated materials, ensuring relevance)
  • Support governance of platform usage standards and communicate updates or changes to stakeholders


Process Standardization, Documentation & Enablement
  • Develop and maintain standardized templates, intake forms, and documentation supporting portfolio and workload management processes
  • Maintain training materials and reference documentation to enable consistent understanding and application of processes across teams
  • Facilitate enablement sessions (e.g., office hours, training forums) to improve adoption of tools, processes, and best practices


Cross-Functional Coordination & Stakeholder Support
  • Partner with DPSBA, Business Data Product, and Data Governance teams to ensure alignment of workload management practices across the operating model
  • Support coordination of cross-team initiatives, ensuring timely communication, issue escalation, and resolution
  • Provide structured support for stakeholder engagement processes, ensuring transparency and responsiveness to business needs


Continuous Improvement & Operational Optimization
  • Identify process gaps, inefficiencies, and opportunities for automation or standardization across workload management and reporting processes
  • Recommend and implement improvements to enhance consistency, reduce friction, and improve speed of execution
  • Support evolution toward a more structured, portfolio-driven operating model aligned to CSBB Data & Governance objectives


QUALIFICATIONS

Required Qualifications
  • Bachelors' degree in business, engineering, design, or technology field; or related field or equivalent combination of education and professional experience
  • 4+ years of experience in process analysis, project/program support, or workload/portfolio management within financial services or a comparable environment
  • Demonstrated experience supporting workload intake, backlog management, or project portfolio tracking processes
  • Strong analytical and problem-solving skills with ability to synthesize information and support decision-making
  • Professional communication skills both verbal & written, with the ability to effectively communicate complex concepts to diverse audiences
  • Experience developing dashboards, reporting, or executive-level materials for performance tracking and communication
  • Proficiency with collaboration and productivity tools (e.g., Microsoft Office Suite, Visio, SharePoint, Teams) and familiarity with workload management tools (e.g., Adobe Workfront or similar platforms)
  • Strong organizational, communication, and stakeholder management skills with ability to operate in cross-functional environments
  • Ability to manage multiple priorities, maintain attention to detail, and deliver high-quality outputs under tight timelines
  • Familiarity with data/analytics operating models, data product lifecycle concepts, or technology delivery processes
  • Experience supporting executive reporting, scorecards, or KPI tracking frameworks
  • Knowledge of process improvement methodologies (e.g., Agile, Lean, Six Sigma)
  • Understanding of Reporting, Business Intelligence, & CX concepts
  • Experience administering SharePoint or Microsoft Teams environments in an enterprise setting

Preferred Qualifications
  • Certified Six Sigma Green Belt
  • Quality/process improvement-related designation.
  • Solid understanding of program and project management disciplines, techniques and approaches.
  • Certified Associate in Project Management (CAPM)
  • Experience with enterprise workload management or portfolio management platforms (e.g., Adobe Workfront)
