POSITION SUMMARYReports to: HR ManagerThe Payroll Specialist key responsibilities are:
- Prepare and process full-cycle Weekly and bi-weekly payrolls accurately and on time, including:
- Importing hours from the Time and Attendance / ADP Clock
- Entering data into ADP Payroll
- Calculating changes, balancing, and post-verifying payroll
- Manage Time and Attendance data within the system; resolve discrepancies and exceptions
- Administer payroll for unionized employees (interpret collective agreements, apply wage scales, premiums, overtime rules, union dues, retro pay) and non-unionized employees (merit increases, bonuses, commissions)
- Compile and summarize payroll information for management reports as required
- Assist with regular and annual payroll reporting, reconciliations, remittances, and filings
- Support audit requirements and ensure compliance with internal controls and legislation
- Participate in Total Rewards projects and process improvements
- Create, update, and maintain process documentation and payroll records
- Identify and recommend areas for process improvement
- Respond to payroll inquiries from employees, site teams, and union representatives with professionalism and accuracy
- Partner with HR, Finance, and Operations to resolve complex payroll issues across sites
- Handle employee inquiries with professionalism and confidentiality
Compliance, Reporting & Audits- Ensure compliance with Canadian payroll legislation, employment standards, and union agreements across all PTUS Projects sites
- Prepare and manage:
- Government remittances and filings
- Year-end processes (T4s, ROEs, reconciliations)
- T2200 (Declaration of Conditions of Employment) forms, including coordination with HR and employees for eligible expense claims
- Internal and external payroll audits
- Generate site-specific and consolidated payroll reports for Finance and Operations
EDUCATION AND QUALIFICATIONS- Payroll Compliance Practitioner (PCP) designation or equivalent combination of education and experience
- 3-5 years recent payroll experience with ADP and time & attendance systems
JOB REQUIREMENTS- Experience with unionized and non-unionized payroll, processing and administration administration.
- Proven experience managing payroll across multiple sites/projects and unions
- Strong working knowledge of collective agreements and union payroll rules
- Expertise in handling complex pay structures (multi-rate, premiums, allowances, retro pay)
- Solid understanding of Canadian payroll legislation and compliance, including year-end reporting and T2200 requirements
- Strong reconciliation, analytical, and problem-solving skills
- Intermediate to advanced Excel skills (reconciliations, reporting, data analysis)
- Ability to manage high-volume payroll in a fast-paced, deadline-driven environment
- Strong communication and coordination skills with site teams and stakeholders
- High level of accuracy, organization, and attention to detail
- Ability to handle confidential information with discretion
- Experience in construction, infrastructure, or project-based environments strongly preferred
- Intermediate Microsoft Excel skills; proficiency in Outlook, Word, and ADP
